The operations support position is a part-time role (working approximately 19 hours per week) responsible for core administrative tasks supporting identified client organizations/associations.Â

Client association membership processing and updating in membership database (iMIS) or other association membership software (task will involve daily data entry)

Batch processing between membership database and our client facing accounting staff.

Daily credit card report processing, including batch closeout and interface with Financial Management & Accounting personnel

Preparation and mailing of membership packets inclusive of membership cards, certificates, welcome letters, etc. (e.g. mail-merge)

Running membership reports inclusive of counts, renewal comparisons and invoices

Filing of membership forms, lockbox batch and credit card reports

Assisting in membership service inquiries as related to database (e.g. a member calls asking for their membership login information for the association website or requests a copy of a journal article)

Mass mailing preparation as needed

Other administrative projects as needed

Front line customer service for client association members and prospects
Microsoft Office proficiency (strong technical skills)

Data entry experience (experience working with databases)

Applies good judgment and handle sensitive financial information

Filing and core clerical skills

Strong interpersonal skills (e.g. effective listening, working with teams, professional phone skills)

Is flexible - shifts gears effectively and goes with the flow if things get hectic

Meets deadlines

Can juggle several assignments at once

Demonstrated history working well with other employees at all levels and from other departments
