Provides a high level of professional administrative support to both internal and external customers of the Western Regional Field Sales office.
DUTIES AND RESPONSIBILITIES:
Organizes, Supports and Maintains all office services, operations and procedures for Regional Sales Team, Cisco Global Account Team, Apple Team, Divisional Teams (Engineers & Product Managers), EMS Account Manager.
Organizes & implements office policies supported by the Global Sales & Marketing (GSM) Managers: Regional Sales Manager & Global Account Manger (RSM & GAM)
Monitors & records all cost centers for all Division/GSM teams utilizing office/office supplies
Maintains & replenishes all office supplies/catalogs/office machines supplies-paper/toner for GSM & Divisional Teams
Monitors & Maintains all Personnel Records; Vacation/Time off for GSM/Divisional Teams (Engineers/Product Managers)
Organizes & Maintains the Regional SharePoint site
Manages Visitor Calendar
Our Regional Sale Office has a high number of visitors from all Global Divisions/Teams weekly. Provide appropriate business services, coordination and hospitality
Event Planning for all District, Regional, Sr. Management meetings including travel arrangements for regional personnel as needed
Handles Consolidation Shipments from Lisle/Bolingbrook(FedX)
Reporting (using SAP & BW)
Supports & plans office layout/equipment planning for ongoing office expansions
Handles telephones for all regional personnel
Performs customer service duties as required
Prepares regional itineraries
Composes and/or types correspondence and other written material generated by the regional personnel (RSM, RDSM, DSM, AM, SE)
Administers regional budget reporting and petty cash fund in accurate and timely manner. This includes checking invoices for accuracy, initial and send to Administrative Assistant in Lisle for payment. Ensure that all receipts are attached to petty cash slip that is submitted for payment.
Miscellaneous job functions which include sorting/distributing documents, preparing FedEx and UPS shipments, maintaining office supplies and Molex literature, maintainence and operation of office machines. Arrange for clerical temporary personnel as needed.
Maintains CRM (Customer Relationship Management) database for region
Supports Molex TQM program by following approved policies and procedures
Performs other related duties as assigned by management
Job Requirements :
Required: High school diploma
Preferred: Additional secretarial training
WORK RELATED EXPERIENCE:
Required: 3+ years experience in a secretarial or administrative position
Preferred: Expeirience in a busy sales environment
Required: Strong computer skills. Good knowledge of Windows, MS Office software (Word, Excel, PowerPoint), database, graphics and spreadsheet software
Must be able to prioritize workload
Organization skills to create and maintain an orderly and organized work area
Must have strong typing and proofreading skills
Strong communication skills to take messages and exchange information clearly and concisely. Will occasionally need to respond to calls that are sensitive in nature.
Preferred: SAP and Business Warehouse exposure
OTHER: Will occasionally be exposed to information that is considered to be confidential, personal or sensitive in nature. Maintenance of this trust and confidentiality is extremely important.
