The Harbor Department is seeking a Secretary to fill an open position in the Construction Management Division of the Engineering Bureau. The Construction Management Division is responsible for managing construction contracts awarded by the Board of Harbor Commissioners, providing various surveying services and managing the Port's Labor Compliance Program.

This position reports to the Division's Director. Under general supervision, the Secretary will:

  • Prepare a wide variety of correspondence, reports, and other formatted material using Microsoft Excel, Word, Access, PowerPoint and other software applications
  • Greet visitors, receive and screen telephone and manage calendars, schedule meetings and make travel arrangements
  • Resolve routine problems and answer routine inquiries independently
  • Develop, implement, and maintain program information, evaluation and reporting systems
  • Maintain the Division's databases, and a filing system of various subject matters
  • Process Board memos and Division correspondence
  • Provide backup support to administrative staff as needed
  • Prepare travel and other expense reimbursements
  • Maintain the Director's schedule and set meetings as required
  • Perform other related duties as assigned
Minimum Qualifications:
  • Three years of progressively responsible secretarial experience
  • Must be detail oriented, possessing strong written, oral and interpersonal communication skills, with a thorough knowledge of office procedures
  • Proficient in use of Microsoft Word, Excel, PowerPoint and Outlook
  • Ability to interface with the public and City staff and provide excellent customer service
  • Ability to manage multiple tasks, meet deadlines and prioritize assignments
  • Self-motivated and can work independently
  • Willingness to work overtime and weekends, as necessary
