Job Summary
To support the work of the Academic Budget & Personnel Officer in the Office of the Academic Vice President. The successful candidate will have a working knowledge of Banner, spreadsheets, and basic accounting principles.

Work Schedule
Monday through Friday, 8 am – 5 pm. Occasional evening and weekend work may be required.

Essential Functions
Assist with distributing and compiling budget and personnel submissions

Approve Electronic Personnel Action Forms ( EPAF )

Maintain list of approved faculty vacancies

Create and maintain spreadsheets for tracking purposes

Prepare and process online purchase requisitions, reimbursements, advances, & non-employee honoraria

Enter and update data using BANNER , Excel, & Word

Assist with budget and personnel processes for offices within the academic division

Schedule appointments and answer phones

Prepare and process department chair contracts and new faculty employment agreements

Create and maintain files

Audit reimbursement and purchase requests to assure compliance with Gonzaga policy

Perform expense inquiries

Prepare journal entries and budget adjustment requests

Prepare spreadsheets for statistical and accounting purposes

Develop an AVP Office procedure manual for budget and personnel processes

Other related duties as assigned in support of the work of the Office of the Academic Vice President.

Supervision Given/Received
This position reports to the Academic Budget and Personnel Officer. The incumbent will be expected to work independently and will have direct instruction, supervision, and oversight from the Academic Budget and Personnel Officer.

Minimum Qualifications
Bachelor’s degree in business, finance, accounting, or related field

Knowledge and use of a Banner integrated computer system

Proficient in Microsoft Office 2010 including Word, Excel, and Outlook

Minimum of 6 semester/8 quarter hours in college-level accounting

2-3 years of experience in accounting or accounting practices

Five years of office support experience with at least two years in an academic environment

Ability to relate with diverse groups, including faculty, staff, students and the public with sensitivity and professionalism

Strong written, oral, and interpersonal skills
to effectively work with all levels of the University

Self-motivated to excel with excellent organizational, analytical, and multi-tasking skills with the ability to prioritize tasks

Desire to complete tasks on time given specific deadlines

Maintain a strict level of confidentiality relating to personnel and financial information

Strong customer service skills and focus

Desired Qualifications
MBA

Experience with creating PowerPoint presentations

Experience with creating flowcharts using a software application

Experience with PeopleAdmin

Experience with Concur

Budget and personnel experience in higher education

Physical Demands
Successful candidate must be able to sit at a desk for long periods of time and be mobile campus-wide for various business needs.
