Perform administrative and clerical duties to support organization operations: utilize varied computing equipment to establishl, maintain and update records; prepare new and revised job formates for use in data input operations. Ensure that individuals needing access to classified information or site access to jSandia meet all requirements prior to receiving a clearance and a badge. Coordinate ogistics for various programs; handle requests for information; conduct or assist in taking inventories or audits; assist in evaluating technical data; and perform minor maintenance or setup of equipment. As required, instruct, direct or assign work to others, ensuring adherance to established policies and procedures, resolving discrepancies and recommending changes as necessary.
New employees must be on the job 12 months; all others, a minimum of 6 months on current job. Must have passed current standardized testing.
MAJOR AND REPRESENTATIVE DUTIES:
Utilize varied computing equipment to establish, maintain and update records; develop dtatbase applications; maintain and modify computer programs; test and evaluate corrections and enhancements to computer programs/database software; prepare new or revised formats for use in data input operations; issue and monitor passwords and perform related functions.
Investigate various data sources to interpret guidelines to determine the appropriateness of access authorizations requested. Instruct customers on appropriate Sandia and DOE policies and guidelines. Process, print, enroll badges; badge retrievals; vehicle gate access; ID cards; collect termination paperwork for employees, contractors, and consultants. Review and ensure all badge/clearance forms are complete.
Schedule work orders; determine priority based on current workload, availability of resources, equipment capability and urgency; resolve source data problems; determine completion date and monitor adherences to schedule.
Work with internal and external contracts to coordinate logistics for various programs, including researching, negotiating and scheduling the delivery of materials and/or services.
Conduct or assist in taking inventories or audits of documents or materials to verify accuracy/completeness of records.
Assist in evaluating technical data and perform minor maintenance and setup on varied equipment.
As required, instruct, direct or assign work to others, ensuring adherance to policies and procedures, resolving discrepancies and recommending changes as necessary.
Perform other jobs at equal or lower level, for which the incumbent is appropriately trained, to meet the needs of the business.
Performan job with due consideration the principles of ES&H and Quality; may serve on task force to define organization standards for these values.
Part time schedule requires 20 hrs per week.
Limited-term employment is contingent upon ongoing business need requiring temporary labor. Current policy limits the length of time that Limited Term Employees can be employed by Sandia to two years.
Applicants must meet the minimum pre-requisites to be scheduled for testing. The applicant will be contacted and scheduled for the next available test date. All applicants must be prepared to test upon application submittal. Once successful testing has been completed, the hiring manager will be notified.
Full consideration will not be given to applicants that have not met all of the pre-requisites including testing. Interviews will not be scheduled until the applicant has successfully test-qualified and has been selected by the manager as a top applicant. Passing the test does not guarantee an interview or a selection.
If the applicant is not able to schedule testing within the time constraints of the position posting, selection timelines, and the available test dates, they will not be considered for the position. It is imperative that applicants are immediately available for testing in order to provide the best opportunities.
Applicants must be proficient in Microsoft Word and Excel. Outlook is used daily.
-Experience with Microsoft software, computer databases, computer applications, as well as SharePoint, SharePoint Designer, and InfoPath form services
-Experience with records management, including document repositories
-Experience with creating and updating metagroup lists
-The ability to prioritize, delegate, and successfully respond to simultaneous and competing requirements
-Must be organized and able to multi-task with multiple records and various databases. Attention to detail is a must
-The ability to integrate and organize data into various media
-Familiarity with IMS and Center 5400 Mission Assurance framework & processes
-Familiarity with Sandia explosives training records and requirements
-Familiarity with Sandia ES&H and WP&C record requirements
-Familiarity with Sandia EIMS database
Position requires a Department of Energy (DOE)-granted L-level security clearance.
Sandia is required by DOE directive to conduct a pre-employment background review that includes personal reference checks, law enforcement record and credit checks, and employment and education verifications.
