Position supports the development, coordination and monitoring of various furniture
operations, which will include special projects. Team member will participate in and
provide support for the efficient operation of furniture requirements, including cost estimates
for and ongoing coordination of reconfiguration, delivery, installation and storage
activities.
Role collaborates and coordinates with Occupancy Planners and furniture installation
vendor(s) in support of furniture requirement recommendation and implementation. Concurrently
oversees direction and management of furniture systems and free standing furniture purchase
and/or re-use portfolio-wide to cost-effectively support company business goals. As a team
representative, the incumbent also provides support for Workplace Strategist to develop,
document, implement and maintain short and long term workplace strategies, policies and
guidelines.
Principal Responsibilities
Furniture Coordination
Coordinate and participate in the development, documentation, cost estimation and
monitoring of various day-to-day furniture operations and special projects.
Collaborate with installation vendor to develop project estimates for customers; provide
cost, schedule and scope information for customer review and approval.
Development, implementation and maintenance of processes and workflows for the service
delivery model and tactical execution of furniture requests and requirements.
Oversee coordination and recommend direction for systems and free standing furniture
purchase and/or re-use portfolio wide, and ensure decisions cost-effectively support company
business goals.
Work closely with Purchasing to provide cost-effective contracted services or product
proposals following Corporate Purchasing standards and support the development and monitoring
of contracts
Provide cost estimates and analysis as requested by management for cost-benefit analysis on
large projects.
Coordinate and collaborate with client representative, Occupancy Planners and Relocation
Manager(s), as requested, to determine furniture requirements and implementation
requirements.
Produce documents and communications needed in order to establish and maintain accurate
drawings of furniture layouts.
Provide support to perform regular “sweeps” of workspace(s) to identify
furniture items in need of repair, replacement or upgrade.
Coordinate and assist with lifecycle project requirements.
Create reports and conduct analysis of data related to assessment of the furniture assets
as requested.
Provide day-to-day furniture guidance and insight on a regular basis.
Provide on-site supervision during installation activities, when required.
Facilities Work Order, Vendor & Supplier Management
Responsible for all aspects of furniture supplier and installer management.
Monitor partner vendor relationships and performance to assure full compliance with
contracts, successful delivery and customer satisfaction.
Liaison to various in-house and outsourced support groups for furniture support.
Work with suppliers and Procurement to assist with development of firm fixed contracts,
based on list price less fixed discount.
Determine and document specific objective(s) and scope of project
Solicit bids/quotes from vendors and communicate data to clients
Use work order management software to address and coordinate furniture requests and general
work order processing.
Ensure that furniture reconfiguration and/or installation requests are completed on time
and in accordance with the budget and all Service Level Agreements (SLA’s).
Collaborate and/or coordinate furniture installation and reconfiguration requirements,
recommendation and implementation.
Oversee and, when required, audit all furniture installations and reconfigurations as
performed by assigned vendor.
Furniture Storage Management
Oversight for furniture storage inventory at onsite and offsite locations
portfolio-wide.
Confers with area Superintendents, Engineers, warehousing vendor(s) and clients on
inventory requirements, adjustments and inventory in/out requests.
Identify all furniture inventory sites and lead collaborative initiative to identify
opportunities for central warehousing functionality.
Assures the handling of documentation, and correspondence related to furniture product
inventory control at all storage facilities.
Workplace Strategies, Guidelines and Standards
Research products and materials and document established furniture and finish guidelines
and standards.
Qualifications
Combination of education and/or relevant experience, equaling 5+ years, in furniture
& facilities coordination experience, preferably in commercial real estate.
High School Diploma or GED required.
B.S. or B.A. in related discipline or related experience preferred.
Required Skills
Proficiency with MS Office; database knowledge a plus.
Familiarity and knowledge of various furniture systems, manufacturers and dealerships.
Understanding of reconfiguration processes, furniture standards, furniture inventory
management and systems furniture including detailed knowledge of assembly and
configuration.
Maintain a high level of customer satisfaction that effectively supports day to day
business operations by improving relationships and delivering solutions.
Identify and initiate opportunities with outcome results of increasing productivity and
quality of service.
Must be familiar and proficient with personal computers and PC based software such as
Microsoft Excel, PowerPoint and Word. Experience with Yardi accounting system a plus.
