Project Coordinator

Reporting to the Manager of the Enterprise Project Management Office (EPMO), the Project Coordinator will be responsible for project coordination activities and typically working with several Project Managers at any time. Project Managers run projects from small projects to very complex projects and will need help in coordinating meetings, developing status reports, managing resources and communications, putting together Steering Committee Decks, along with various other project administrative tasks. This role will also have support responsibilities for two separate tools, Project Server and ITM (a Time Management system used by the department).

Position Responsibilities

·

Ongoing coordination of meetings (including online and face-to-face meetings) with both small and large audiences

·

Will be responsible for managing Project Server and ITM

·

Produces regular status updates on project activities with critical milestones identified

·

Prepares meeting minutes, presentations and other material, as required

·

Provides and/or organizes activities and documentation for project archives

·

Coordinates Issues Management and Change Control procedures following established policies and procedures

·

Participates in work plan reviews

·

Assists in procurement processes and monitors program budget on an ongoing basis

·

Communicates with project stakeholders

·

Supports project teams, working groups, committees and other stakeholder groups on the development and management of project plans

·

Other duties as assigned

Position Requirements

·

Associate's degree in Business, Information Systems or related discipline preferred or equivalent experience

·

One (1) to Three (3) years’ experience

·

Experience with Microsoft Office applications and Project Management tools (MS Project and Project Server)

·

Good knowledge of analysis, problem solving and structured approaches to identifying solutions

·

Very good written and verbal communication and documentation skills

·

Excellent interpersonal skills, with ability to work with stakeholders to achieve project goals

·

Ability to multi-task, follow up on and manage competing priorities

·

Comfortable working in a dynamic and fast-paced environment

·

Detail oriented with excellent organization and time management skills
