Responsible for personnel actions for the Department of Public Safety. Prepare required documents through the HRIS System to add and remove employees to and from the department’s payroll. Prepare all documents to implement changes in classification and pay of all departmental employees. Maintain personnel files in an accurate and confidential manner. Prepare files for new employees. Maintain separate medical files for each employee. Maintain a separate employee database (enter, modify, delete information) in order to track all contacts, secondary employment, transfer requests, events for each employee. Track military leave for all employees in Public Safety that belong to a military branch of the service. Process leave without pay for employees who are on extended military leave. Track all injury leave used by peace officers for temporary incapacity restoration pursuant to Iowa Code Chapter 80. Track, initiate and process documents for additions or changes in Longevity pay per Iowa Code Chapter 80.8. Track, initiate and process documents relating to reclassification of Trooper 2’s and Trooper-Pilots to Trooper 3’s and Senior Trooper Pilots per SPOC CBA, ART IX, Section 1(e), paragraph 2. Maintain Family Medical Leave Act (FMLA) documentation. Compile and submit monthly reports to U.S. Department of Labor regarding current employment statistics. Maintain statistics for OSHA reporting as required by federal standards. Serve as a point of contact for all workers compensation reports and claims. Enter first reports of injury into Workers Compensation database so that claims can be approved and processed in a timely manner. Submit incoming claims to Sedgwick CMS for proper payment of claims.
Prepare and disseminate verification of employment for lending institutions. Prepare and submit documentation for Appeal Board Claims. Submit all personnel changes as required to ILEA.
Serve as a DPS Access Coordinator for DPS employees. Post job vacancies, process hiring registers, and distribute as requested by departmental managers.
Function as the assistant to the secretary to the Peace Officers’ Retirement, Accident and Disability System. Responsible for distributing an agenda on a monthly basis for the five Board members and interested parties for each Board of Trustees’ meeting. Responsible for typing and sending letters as directed by the Board of Trustees. Responsible for recording board meetings; typing and distributing minutes to the Board of Trustees. Provide monthly Board Meeting agenda and approved minutes to Tech services for posting on DPS Web site. Provide information to retirees as requested. Conduct the nomination and election of the retired and active members of the Board of Trustees.
Explain to each applicant for disability retirement the documentation they are required to submit before examination by the Medical Board.
Schedule all members applying for disability retirement for an examination by the Medical Board and for functional capacity evaluations as directed by the Board of Trustees. Notify the member of the location, date and time of each examination. Maintain the personnel files on each active and retired employee. Process information in POR database to provide accurate payments and withholding to all retirees, widows and children. Assist Board Secretary in mailings relating to dissemination of 1099’s, tax changes and escalation computation reports.

Minimum Qualifications
Experience equal to two years of full-time administrative support work.

Ability to pass a thorough background investigation conducted by the Department of Public Safety.
