Plant Services Administrative Assistant under the direction of the Director of Plant Services, is responsible for performing office management activities such as billing, ordering, and receiving of supplies. They are also responsible for typing, filing, and data entry and retrieval.

Creates purchase orders for the purchasing of materials, parts and supplies.

Problem solves regarding invoices, packing list, open purchase orders, back orders, incorrect invoicing and etc.

Receives in ordered materials and reconciles paperwork.

Performs inventory management of items needed in the support of the hospital.

Creates files for the management of construction project documents

Creates paper and electronic files for operation and maintenance manuals of new hospital equipment.

Assist with the management of Plant Services preventive maintenance program with data entry and producing new preventive maintenance tasks.

Maintains department’s policies and procedure manuals.

Helps maintains a current MSDS inventory manual in an on-gong bases.

Creates and maintains spreadsheets for the hospital utilities and inventories.

Maintains required information for the departments Performance Improvement program.

Answers telephone calls for the department in a professional matter and relays information to the appropriate persons.

Assist Plant Services management and others in the department with supportive Administrative Assistant work.

Produces department reports as required for the operation of the hospital.

Maintains Plant Services catalog and brochure inventory.

Maintains clerical support for educational activities of the department.

Provides for proper procedure for repair and return of equipment.

Orders items through OM Direct

Qualifications/Experience

1. Diploma in Administrative Assistanting, business or related field. Experience in excess of three (3) years in office management practices. Other equivalent training and experience would be considered.

2. Ability to read, write and speak English. Minimum of three (3) years of purchasing supplies, and record management in a supportable role for a large medical facility, industrial facility or related industry preferred.
