What You Will Do:
The Administrative Coordinator provides administrative support to Medical Group Administration including the Executive Director and the Director of Finance by receiving and screening telephone calls, processing mail and greeting/assisting visitors by determining needs, prioritizing urgency, providing information and/or referring to appropriate individuals.

DAILY OPERATIONS: Exercises initiative, judgment and knowledge within the scope of responsibilities of administrative, procedural and managerial details in day-to-day activity of the department, including maintaining the filing system and monitoring contact alerts to ensure materials are gathered for timely review. Prepares correspondence including drafting letters, reports, statistical data and memoranda as required. Answers phones and makes appointments for patients. Acts as a liaison to Executive Council, Directors, employees and others to communicate messages, schedule meetings and disseminate information. Assists with special projects, compiling materials for submission or distribution and responding to various agencies as required. Takes accurate messages and reviews incoming mail by sorting, distributing and appropriately responding as related to topic addressed. Maintains office supplies and equipment to maximize efficiency and maintain good stewardship of resources. Prioritizes in order to meet deadlines when applicable. Handles all travel arrangements as required. -

MEETING PREPERATION AND RESPONSIBILITIES: Maintains calendar, arranges meetings providing notification to all participants and attendees. Reserves rooms for meetings, arranging for room set-up and equipment as necessary. Prepares and distributes agenda in advance of meeting. Serves as recording secretary. Maintains records of meetings. Prepares and distributes minutes providing follow-up as necessary.

PAYROLL AND REPORT GENERATION/MAINTAINANCE: Prepares and audits required payroll, expense and statistic extracts. Responds to questions regarding invoice, payroll and productivity data as required. Assembles and distributes monthly financial and operating reports to SJMG Executive Director and other management personnel for review and discussion. Maintains Productivity and Operational Reporting using a variety of reporting and tracking tools, including McKesson and Lawson.

What You Need to Be Successful:
  • 2 - 4 years Administrative/clerical support for mid- to upper-level management, preferably in a healthcare setting (Required)
  • 2 - 4 years Proven ability to use independent judgement and function autonomously (Required)
2 - 4 years Working knowledge of medical terminology (Preferred)
