Academic Program Specialist
    Office of the Registrar

    Non-Exempt, Contingent II, Full-Time, Grade 9

    University of Maryland University College (UMUC) seeks an Academic Program Specialist in the Office of the Registrar that receives, processes, and tracks applications for graduation, enrollment verifications, deferments, transcripts, and other Registrar related form requests from students, advisors, staff, and external constituents. Verifies eligibility for graduation and handles graduation questions. Prepares diplomas for mailing. Processes any financial transaction related to the application or request. Enters data into People Soft and other systems correctly to provide tracking information. Handles and assists with coding the communications for students in the graduation process. Verifies the record is correct for graduation and all necessary comments, exceptions, and other specifics are coded appropriately into the system. Codes, sorts, processes, and handles the full range of Registrar documents related to graduation, records and registration. Utilizes Engage and other departmental and university knowledge areas. Participates in end user testing of the systems including People Soft to identify bad data and problems as they relate to Graduation Certification and Student Records. Assist with troubleshooting data and other issues worldwide to obtain information and assure efficient and consistent processes and procedures are followed. Each staff at this level will be responsible for specific duties such as coordinating graduation applications and the People soft pages related to this process, overseeing diploma mailing and coordination of same with the Diploma Vendor, assisting with assuring the NSLC has accurate data on graduated students, collecting data for other stakeholders on graduating students, noticing patterns and oddities by program, location, course, etc. to assist with consistency and auditing the student record. May supervise part time workers within the graduation certification area.

    SPECIFIC RESPONSIBILITIES INCLUDE:

    Receives, processes, and tracks Applications for Graduation as well as requests for enrollment verifications, deferments, transcripts, Embassy Letters, and other Registrar related form requests from students, advisors, staff, and external constituents. This duty includes verifying eligibility for graduation as well as processing any financial transaction related to the application.
    Staff may need to verify account balance and process credit card forms and post fees to the student account. Maintains electronic data in the PeopleSoft system including ensuring all required forms, documentation and data are completed in PeopleSoft. Compiles, updates, and maintains all records related to assigned administrative processes.
    Codes, sorts, processes, and handles the full range of team documents and materials including utilizing Engage and other departmental and university knowledge areas.
    May participate in end user testing of the systems including PeopleSoft to identify bad data, system defects, and process problems. Works to assure that the system maintains accuracy. May be a team lead including supervising, establishing priorities and training of other part time staff.
    Each staff will be responsible for one or more of the following: Coordinating graduation applications and the People soft pages related to this process, overseeing diploma mailing and coordination of same with the Diploma Vendor, assisting with assuring the NSLC has accurate data on graduated students, collecting data for other stakeholders on graduating students, noticing patterns and oddities by program, location, course, etc. to assist with consistency and auditing the student record.
    Assists with identification of issues, problems, and procedures that could be improved to enhance efficiency and student/customer service. Provides ideas for solutions to Managers regarding data and process problems in all systems that are impacting productivity and quality. Participates in developing new or revised processes.
    Perform other related duties as assigned. Specific duties and responsibilities may vary based upon departmental needs
    REQUIRED EDUCATION AND EXPERIENCE: Bachelor's degree (BA/BS), At least (1)One year of experience in administrative staff work in which program or service coordination in a directly related field was a primary responsibility. Except for qualifications established by law, additional related experience

    and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

    PREFERRED EDUCATION AND EXPERIENCE: One year experience in People Soft Student Records dealing with Graduation and/or Degree Audit.
