•Monitor and maintain appropriated and grant funds.
•Research and maintain compliance of university policy, grant laws and regulations.
•Update and reconcile multiple accounts, review for accuracy.
•Prepare and review purchase orders, interdepartmental billing forms, payment requests, vouchers, invoices, garage, motor pool, telephone, and document publishing billings.
•Process on-line payments to vendors – determine correct funding and account number.
•Liaison with Ag Budget, Restricted funds, Sponsored Programs and Accounting office.
•Input data and reconcile department information and reports, review for accuracy.
•Provide monthly fund budget totals to PI’s and Chair.
•Act as purchasing card administrator, verify credit card charges, run reports and be liaison between Ag & Biosystems Engineering and Purchasing Dept.
•Provide accounting for workshops and meetings including receiving income, preparing deposits and posting to appropriate funds.
•Assist and advise the department Chair in budget management and reports.
•Train office support staff and supervise in data entry of invoices; check for accuracy and appropriate coding.
•Maintain professional relationships with public and industry.
•Attend accounting, purchasing, NDSU policy and PeopleSoft training sessions and meetings
•Prepare and submit travel authorizations.
•Process travel reimbursements monthly, organize receipts, calculate expenses, travel voucher, copy and submit.
•Comply with current University policies and procedures.
•Maintain a record of present and upcoming travel for faculty and staff.
•Process vehicle reservations and track mileage on leases.
•Obtain and process paperwork and proper identifications (licenses, Social Security cards, visa’s) for part-time employees.
•Calculate and verify hours on time sheets for each employee/student.
•Proof each time slip for correct funding, hours, pay rate, and enter data.
•Prepare 101 and 102 forms for new employees/students and changes in Department funding.
•Review monthly salary reports from payroll.
•Provide assistance and information in determining guidelines in the purchasing of large equipment.
•Prepare purchase requisitions.
•Obtain information necessary for preparation of inventory.
•Conduct annual physical inventory of items for department.
•Work with surplus/inventory on release of expired equipment.
•Assist Chair with departmental purchases; student computers, lab equipment, etc.Provide backup assistance in the areas of:
•Answering incoming Department calls, answer questions, relay information, or transfer calls to appropriate individual.
•Greeting and assisting students and the public.
•Schedule meeting and rooms on department calendar system
- Associate degree in business/accounting or related area, with three years accounting work experience; or a high school diploma, or equivalent, with a minimum of four years of related accounting work experience
- Demonstrated emphasis on accuracy and details

- Strong expertise and experience with Microsoft office and accounting software
- Ability to be a self-starter and work independently in a team setting
