Under specific direction, the Accounts Payable Specialist II will provide a responsive, orderly administration of key accounts payable functions along with the coordination of the monthly purchase card program.
Reporting to the Accounts Payable Supervisor, will review payment batches entered by Accounts Payable Specialists for accuracy and compliance with policies, review and reconcile employee Pcard statements and audit transactions for compliance with legal and Institute policies and guidelines, maintain compliance with 1099 reporting regulations including collecting W-9s as needed, assist with the coordination and preparation of month-end accruals for entry to G/L, ensure compliance with State Sales & Use tax regulations including ensuring payments and reports are processed accordingly, and perform all other related duties and tasks as required or assigned.
Will also provide back-up coverage to colleagues as needed during times of high volume or absences, train/assist other Accounts Payable staff, and assist the Supervisor with special projects and related tasks as needed.
Requires a high school diploma or equivalent and a minimum of 4-6 years of directly-related accounts payable experience, or an equivalent combination of education, training and experience from which comparable knowledge, skills and abilities have been attained. Associates degree preferred.
Must have demonstrated experience utilizing a 3-way matching process, compiling month-end accruals, completing 1099 reporting, assisting with audit coordination, and reconciling travel and expense reports. Must be able to work within strict time constraints and accurately complete work.
Requires a professional demeanor, strong analytical skills, excellent verbal/written communication and interpersonal skills, and the ability to effectively interact with individuals from various cultures and backgrounds. Must have professional proficiency in Microsoft Office (specifically Microsoft Excel), a fundamental understanding of and experience with automated accounting software and databases, and the ability to learn department-specific computer systems as needed.
