The O The Opportunity:
The Administrative Assistant / Building Services Coordinator is part of a team responsible for the day-to-day operations of a retail/entertainment complex in the San Bernardino Mountain Community. This position will perform as a liaison between management, tenant and facilities staff, processing tenant request and following through to ensure all work orders are completed to all parties’ satisfaction. The position is also responsible for providing support to the General Manager and Facilities Manager, as well as other personnel as part of performing specific duties needed in the effective operation of a commercial property.

Primary Responsibilities:
  • Interact with tenants and process information and work request
  • Create and complete work orders as necessary
  • Maintain and update tenant files on a continual basis
  • Submits daily overview of work progress
  • Assist with tenant programs and merchant association request
  • Tenant relations and promotions
  • Identify potential problems and notify management and appropriate engineering / maintenance staffs
  • Coordinates with Facilities Manager for updates, purchase orders, and project repair status
  • Obtains bids for contracted projects and submits to Facilities Manager for approval
  • Vendor relationships and commitments
  • Assist in budget preparation
  • Maintaining and tracking expenses within budget guidelines
  • Participates in scheduling of repairs and projects
  • On-call for after-hours emergencies – weekends/holidays
  • Available to work holidays when property is open to the public. Alternative days off will be provided with the same pay period
  • Perform all duties assigned by management to include all other phases of operations to the properties, buildings, and structures
Do you fit the bill?

  • 3 years’ experience in Commercial Real Estate operations preferred
  • Must have High School diploma or equivalent GED
  • Working knowledge of MS Word and Outlook
  • Provide a high level of customer service
  • Ability to follow direction
  • Other essential capabilities include commitment to meet deadlines, integrity, and work ethic
  • Must possess strong attention to detail and accuracy
  • $16.00 Per Hour / Depending on Experience
