Responsible for assisting the Director of University Contracts Office with administrative details including: overseeing the flow of paper work through the office; handling confidential matters; reconciling monthly accounting reports; processing invoices for payment;interpreting and implementing university policies/procedures. Performs complex secretarial, clerical, and office duties. Work requires significant knowledge of the policies, procedures and organization of the department and the university, as well as outstanding ability in specialized office skills and computer literacy (i.e. word processing, data entry, and spread-sheets (expense reports). This position will provide additional support services to other staff members. Directs information requests from faculty, staff, and students, as well as the general public, to members of University Contracts Office.
Education: High School Diploma or equivalent combination of training and experience
Experience: 2 or more years clerical and/or secretarial experience, including word processing experience
Skills: Good interpersonal, communication, and organizational skills; excellent clerical, analytical, problem solving skills including the ability to perform scientific typing, the ability to proofread materials for spelling, punctuation and grammar errors; ability to deal with confidential data; ability to use word processing as well as spreadsheets (Word and Excel), databases and other software packages to produce necessary reports; ability to operate standard office equipment; ability to maintain accurate and detailed records; ability to understand and follow directions.
Physical Mobility: Primarily sedentary, able to sit for long periods of time, able to answer telephones; may have to travel to other campus locations; some bending, stretching and lifting up to several reams of paper
Environmental Conditions: Usual office setting; contact with computer monitor for long periods of time
Mental: Ability to pay close attention to details, meet deadlines, remain calm and composed when dealing with difficult situations or individuals, perform repetitive tasks
Other: Occasional weekend and evening hours
Education: Some college or business school or equivalent combination of training and experience
Experience: Additional office experience, preferably in an academic setting. Knowledge of various types of contracts and contract terminology.
