Position Summary:

Responsible for general administrative support and clerical services for the Continuing Medical Education Program in order to ensure effective operations. Also assists with marketing CME programs. This individual reports to the director and is responsible for providing administrative support to staff and assuming bookkeeping, reservation, and reception. These duties include but are not limited to: database system maintenance and training, office supply purchasing, typing, filing, reception and telephone duties.

Duties / Responsibilities

Provide administrative support to ensure that operations are maintained in an effective, up to date and accurate manner

? Provide general administrative support: answer phones, make copies, scan documents, schedules and set up conferences, meeting and webinars.
? Maintain desk area, keeping it clean and free from clutter.
? Type correspondence, reports and other documents
? Prepare packets for meetings
? Attend CME committee meetings
? Record meeting minutes
? Distribute and submit minutes for approval
? Develop and maintain inventory system, Order office supplies and monitor inventory.
? Compile statistical information as requested. Assist with completion of necessary statistical reports as requested
? Maintain accurate daily accounting of fees, and other revenue. Track expenses and logistical expenses for educational activities.
? Keep record of all transactions and forward to accounting department.
? Request honorarium for faculty from accounting department.
? Request required documents from faculty to stay in compliance with guidelines.
? Maintain compliance with AMA and TMA guidelines for AMA PRA category 1 credit accreditation.
? Arranges accommodations and travel arrangements for all speakers for CME programs.
? Coordinate catering, floral and other arrangements for educational events.
? Send out notices, market and promote activities, via visits, email, fax blast or phone calls
? Coordinates registration for educational activities, including badges, sign in documents, certificates.
? Facilitate special event registration and execution.
? Distribute incoming mail and prepare outgoing mail including bulk mail, Ships educational material in a timely manner.
? Maintain and confidential records and files including maintaining scanned copies of documents.
? Assist with various program operations as requested as responsibilities permit.
? Assist with other duties as assigned
