Provide all administrative assistant support responsibilities for the Core Medical Devices Sales and Marketing Team. Provide Admistrative Support to Sales and Marketing Team including 1 GM, 2 Directors of Sales and 1 Director of Marketing. Total team members supported by this role is 106.
Reports to: General Manager, of Core Medical Devices.
Employee Recruiting: Seamlessly manage all the logistical details of interviews.
o Schedule and coordinate interviews, including DIS
o Coordinate with interviewee, including maps, schedule and access to site
o Coordinate interview information (room, schedule, resume, questionnaire / guide)
Employee On-Boarding: Ensure that the on-boarding process is professional and efficient.
o Coordinate workstation and associated supplies (PC hardware, telephone, etc.)
o With hiring Manager, ensure that PC hardware has relevant systems loaded; kick-off requests for necessary system accesses
o Manage requests for corporate phones, credit cards, conference call numbers, etc.
Calendars: Manage Team Leader’s calendar proactively and efficiently.
o Issue meeting notices as requested
o Review calendars for conflict. Suggest alternatives to meeting requestor or Team Leader, as appropriate.
o Proactively reschedule (or, recommend to reschedule) meetings based on critical attendees’ status
Travel Planning and Expenses:
o Proactively plan and book all travel for team leaders
o Coordinate with travel organizer to define objectives and logistics for the trip
o Generate and submit all expense reporting for team leaders
Meetings: Assist in planning and managing meetings to ensure success.
o As requested, provide support to schedule and manage meetings (food, beverage, visitor passes, in-room supplies)
o Proactively question meeting requirements to ensure expectations are met
o Assist in preparing meeting materials (PowerPoint, handouts, etc.)
o Document and distribute meeting notes and follow-ups
Office Supplies: Ensure supplies are available to meet team needs.
o Monitor supply inventory levels, and coordinate replenishment as necessary
o Ensure stock is organized and labeled appropriately
Purchase Orders: Complete purchase orders in an accurate and timely manner.
o As requested, enter purchase orders for vendor goods and services
o Be the team expert for the SAP purchasing system
o Utilize P-Card for departmental needs.
o Manage cost center details.
o Assist team members in the most efficient payment method for frequent business expenses including trade shows, customer sales meetings, clinical speakers, etc.
SAP: Efficiently administer role levels in SAP.
o Monitor SAP training requests / activities. Submit approval e-mails.
• Create all the WBS’s for Pain and Devices
• Owning Sharepoint-creating new information, maintaining existing sites to ensure up-to-date information, etc…
