Summary of Position:

The Adminstrative Assistant supports a group of 10 senior management staff. This person is responsible for a range of administrative support-related tasks which aid senior management and agency in achieving their goals and objectives.

Key Responsibilities/Accountabilities:
  • Work with assigned management team to provide a variety of administrative support reflective of individuals needs
  • Plan comprehensive travel arrangements. Coordinate car service, flight/rail/car rental arrangements, hotel accommodations, taxis, meal arrangements, visa information, and other details of travel. Provide detailed itineraries, key contact information, and back-up plans. Consider unique situations and anticipate and prevent minor and major challenges
  • Coordinate and process business-related expenses. Set processing schedule, collect and scan receipts, verify information, run reports, provide detailed accounting to executives, follow-up on outstanding balances
  • Coordinate and research miscellaneous projects. Manage documents and resources, serve as liaison between team members
  • Provide back-up support for other executive or administrative assistants
  • Liaise with other executive and administrative assistants on various projects and tasks
  • As a member of the facilities team, provide support services as needed to assist the team in achieving its goals and objectives

  • Ability to prioritize, multi-task and remain flexible in fast paced and high pressure environment
  • Very strong attention to detail and organizational skills
  • Strong interpersonal and relationship building skills
  • Ability to work collaboratively as a team player
  • A track record of excercised good judgment, tact, and patience
  • Must be adaptable and nonresistant to changes, as dictacted by evolving office environment
  • Minimum 2-4 years of administrative experience
  • Proficiency in Microsoft Outlook and the Microsoft Office suite
  • Experience working in a client facing environment
  • Bachelor’s Degree
