POSITION TITLE: Administrative Assistant
LOCATION/DEPT.: Aurora Corps
REPORTS TO: Corps Officers
This position provides administrative support for the Corps Officers to ensure that the functions of this position are effectively achieved. This includes excelling in written and oral communications, with planning and implementation of events as well as maintaining a data management system (paper files as well as electronic data files).
ESSENTIAL DUTIES AND RESPONSIBILITIES
Perform general secretarial and office administrative duties including typing, filing, handling of mail, managing appointments, handling incoming/outgoing phone calls, photocopying, maintenance of office equipment and other related duties.
Work with various seasonal projects and programs. Process all Christmas bell ringer and summer camp applications.
Provide translation for Spanish clients as needed.
Work closely with the corps accounting staff and corps officers to update and properly maintain records pertaining to corps finances (accounts receivables and payables, banking and receipts, financial record files, general ledger filing, etc.).
Assist and support other departments as assigned.
All other duties as assigned.
In contacts related to this position’s duties this individual acts as a representative of The Salvation Army and its mission.
Under general supervision of the Corps Officers, with some freedom to plan, schedule and carry out responsibilities within established policies and guidelines.
SUPERVISION OF OTHERS
This position provides direction to site employees and volunteers as assigned.
This individual will be evaluated on how effectively the outcomes of this position are achieved as well as the timeliness, accuracy and completeness of accomplishing assigned goals.
This individual will only commit Army resources that have been allocated or approved.
This individual will keep the Corps Officers informed on all critical issues relating to their area of responsibility.
This individual will adhere to all policies and procedures in carrying out the responsibilities of this position.
PHYSICAL DEMANDS/WORK ENVIRONMENT
This position is required to do light to moderate physical work. In order to successfully perform the essential functions of this position, the employee is regularly required to use standard office equipment and a PC and perform office functions such as filing. The work environment for this position includes an office environment with a low noise level.

Mandatory Job Qualifications
A minimum of two years of college or business courses, or work experience equivalent.
Three years of experience in an administrative assistant/secretarial position.
Familiarity with basic bookkeeping/accounting concepts preferred.
Experience with a computer based work environment and an excellent working knowledge of MS-DOS and Windows based computer environment is required.
Strong oral and written communication skills necessary.
The ability to maintain a good working relationship with co-workers, volunteers and clients; exercising diplomacy and good judgment while recognizing appropriate scopes of authority.
Attention to details.
Ability to perform secretarial and clerical duties with speed and accuracy without immediate supervision.
Knowledge of social work helpful.
Strong interpersonal skills.
A demonstrated ability to use initiative and be a self-starter.
Positive attitude and the ability to be flexible in light of changing job situations/priorities.
Ability to work effectively with confidential material.
Bi-lingual (English and Spanish).
Valid Drivers’ License.
