Provides overall administrative support to the Campus President, Westshore Campus, as well as support for Community and Governments in the Westshore area. Manages administrative office guest relations.
Directs front line support staff and workflow, and office functions to facilitate operational goals.
Works with Campus President to implement strategies for community engagement and provides core support for business and government activities in the Westshore area.
Contact with internal and external stakeholders to efficiently coordinate the Campus President
’s calendar, meetings and events.
Coordinates external and internal events on behalf of the Campus President’s Office that include community contact or are high profile public event and develops and maintains community organization list. Coordinates President’s attendance at community events.
Prepares correspondence including thank you and congratulatory notes and newsletters to internal and external customers.
Manages relationships through events and meetings designed to provide regular updates and face-to-face contact between key community contacts and relevant campus personnel.
Works closely with and represents the Campus to District Personnel including Marketing & Government/Community Relations. Manages internal/external contacts on local boards for the campus and the Campus President.
Performs environmental scanning of community and government activities for important trends or changes.
Researches, collects materials and prepares information used by supervising executive in responding for requests from the administrative line, internal departments and external persons and agencies.
Occasionally answers phones and screens incoming calls and mail and responds independently to inquiries, drafts responses for executive review or refers as appropriate. Calls or correspondence may deal with confidential or sensitive information and require diplomatic and immediate responses.
Provides support to committees/councils and special projects. May provide leadership and management for special assignments assigned by supervising executive.
Occasionally, may represent the Campus President at Community/Government meetings and events.
Assists with budget tracking related to areas of responsibility.
Reviews unit support staff operations and develops methods and procedures to improve services and workflow.
Performs other related duties as assigned.
Minimum of 4 years progressively responsible experience, which includes office management, budget management (analysis and monitoring) and supervision
Strong technical skills including proficiency using SunGard Banner and standard level skills in Microsoft Word and Excel
Strong organizational, time management, follow-up, problem solving and analytical skills
Strong interpersonal, verbal and written communication skills
Excellent editing and proofreading skills
Accuracy and attention to detail
Results-driven, a self-starter and a team player
Ability to manage multiple projects simultaneously in a deadline driven environment
Proven ability to maintain confidentiality
Sensitivity to appropriately respond to the needs of a diverse population
Ability to work beyond regularly scheduled hours
Bachelor’s degree in Communications, Journalism, Marketing, Public Relations, or related field
Previous work experience in public relations or public affairs
Networking skills and the ability to engage external community and government stakeholders concerning the needs of the College
Knowledge of local communities and surrounding areas
Primarily M-F 8:30 a.m. to 5:00 p.m.
Occasional evening and weekend work will be required for College events and community functions held during those times.
