Your Role with the Company

Performs administrative, clerical and records management duties. Welcomes on-site visitors, screens calls via multi-line telephone system, first point of contact for clients and vendors. Maintains areas of business operation to ensure a seamless work environment.

Monitors front desk; ensures delivery of time-sensitive material for clients for pickup by clients and alerts staff regarding status

Maintains client information in database; enters new client information and updates for existing client updates

Mails Tax Alert letters and tax newsletters

Collates and mails tax organizers

Maintains individual CPE files for Partners and staff; provides information as needed

Types, copys and binds proposals for potential and existing clients in a timely manner; proofs and ensures accuracy of proposals

Maintains office equipment; ensures prompt delivery and retrieval of faxes and mail to/from post office box

Receives, sorts and routes mail and publications

Processes client payments

Types memos/forms/reports from Partners and staff

Maintains kitchen area and reception; performs hospitality duties as appropriate Maintains conference room; ensures neatness of the room and coordinates schedule and availability

Decorates for the holidays, ensures prompt delivery of card on holidays and birthday

Maintains availability of building and elevator; holds keys and ensures all staff and visitors have access at the appropriate times

Monitors, maintains and replenishes office supplies in neat and organized fashion.

Performs GuideStar searches for non-profit 990 reports for Audit Partner as requested.

Provides Raleigh Investors reports (internet) from Edward Jones account as requested.

Prepares new member letters/charts as requested.

Prints MPC address labels as needed.

Performs special projects as requested.

Background Profile

Knowledge of office practices and procedures.

Considerable knowledge and ability to use correct grammar, vocabulary and spelling.

Working knowledge of word processing and spreadsheet programs such as Microsoft Word and Excel.

Knowledge of Practice (client database system) and Trackker (tax database for due dates).

Ability to organize and effectively process and maintain records and files.

Graduation from high school

Some college level coursework preferred
