The departments of Biology, Chemistry, Mathematics and Computer Science, and Physics and Earth-Space Science are accepting applications for an Administrative Assistant. This is a full-time, non-exempt staff position that offers the opportunity to add to an existing skill set, engage a truly excellent, intelligent group of students, and work with a collegial and supportive faculty.
The administrative assistant for these departments is the first contact for students and visitors for the science departments of the University of Indianapolis. In addition to everyday administrative responsibilities (mail, photocopying, etc.), the administrative assistant is required to perform a broad range of tasks including the ability to manage, track, and reconcile both small and large budgets, manage hiring and tracking of student employees, and order and disburse complex laboratory supplies. In particular the administrative assistant serve the needs of department chairs (schedule management, meeting organization, interaction with other administrative units on campus, detailed arrangements for special events, etc.). Special projects arise frequently as academic and administrative priorities change. The administrative assistant often spends a significant amount of effort in responding to student problems and serving as a resource to faculty regarding effective and efficient day-to-day operations of the science departments.
Special Instructions to Applicants
Required Education/Experience/Skills (Minimum Qualifications)
High School degree required.
A minimum of two years’ experience as an administrative assistant or similar position required.
Computer skills in complex document word processing and spreadsheets are required.
The successful applicant muyst have excerllent communication and organizational skills and provide atention to detail. The departments are looking for an individual who is practive with strong inititative, willing to learn, able to respond to last-minute request quickly, and respect privacy rules.
Desired Education/Experience/Skills (Additional Qualifications)
College education preferred.
Experience in academic environment preferred.
Familiarity with science terminology desired.
Experience with at least a subset of the following is desired: databases, ordering, inventory, budget management, and technical terminology (biology/chemistry).
