As an Administrative Assistant to th Clinical Directors for Community Health Center, you will:

Provide outstanding administrative, organizational and technical support

Coordinate and arrange meetings and conferences, schedule appointments

Organization, communication, scheduling, reporting related to continuing medical/dental education series

Preparation and planning for new clinical staff onboarding, including supporting HR for orientation needs

Patient care issues - preparation of patient communication and documents as needed

Record and maintain minutes from meetings and forward/follow-up with respective personnel accordingly

Prepare documents relating to the provision of medical, dental, mental health and social services
Preparation and submission of national, state and local regulatory and audit documentation and materials
Direct and clear collaboration with other agency administrative assistant
Meeting coordination, attendance and deliverable tracking
Committee scheduling, management and follow up

Project management

Maintain confidentiality in a professional manner

Demonstrate efforts to maintain and improve job specific competencies

Remain flexible in work schedule in order to provide the most effective and efficient support for the company

Perform other duties as assigned

Additional Specifications
  • Bachelor's degree
  • 5+ years Administrative Assistance experience
  • Experience supporting senior level management
  • Background in healthcare field helpful, but not required
  • Expert level computer skills (Word, Excel, PowerPoint and Outlook) well versed in Internet research; Access knowledge and experience a plus
  • Proven ability to maintain confidentiality
  • Experience with project management
  • Professional & polished demeanor
  • Proven ability to support multiple members of management including complex calendar mangement
  • Excellent written, oral and interpersonal communication skills essential
  • Exceptional organizational, time-management, prioritization, and multi-tasking skills
  • Professional responsiveness and adaptability to rapid change
  • Strong critical thinking and analysis skills
  • Ability to work with minimal supervision, be resourceful and demonstrate excellent problem solving skills
  • Flexibility and willingness to occasionally work early, late or weekend hours
