Job Description

: NIB Team Member Role: Administrative Assistant

The Administrative Assistant will provide administrative and project support to the Vice President of Human Resources and the Human Resources Department by supporting the goals of the department and organization.

Job Requirements
: Specific Duties and Responsibilities: *
  • Proactively handle administrative work and advance work flow, creating/maintaining an office management system. Follow-through on tasks, filing, tracking, signatures, materials preparation and dissemination, reports, mail, supplies, requisition/invoice, expense reports, timesheets. Carry-out inter-office communications and correspondence in all formats. Create written documents (emails, letters, reports, outlines, PowerPoint slides). Responsible for accuracy and clarity of final copy. Provide professional customer/client response and follow through. *
  • Develop, maintain and manage department databases, archives and information files. Create reports. Maintains employee files *
  • Provide logistical support and administrative follow-through for events; handle coordination of event activities such as classroom sets, registration, lodging, catering, communications, badges, materials, and compilation of participant evaluations. *
  • Develop, format, copy/print, duplicate, collate, disseminate, and store various documents, training materials and certificates. Handle document control issues and quality assurance activities. Review documents for error. Handle office equipment, such as facsimile, copier, Braille (embosser), binder. *
  • Prepare expense reports, check requests and invoices, maintaining accuracy and confidentiality; file and track expenses for various training programs. *
  • Carry out the accounts payable process with the Accounting Department, timely and error free. *
  • Record and read materials that are not accessible media for department. Read (out loud) mail and other kinds of written material, review materials for errors and problems. Convert/edit material for accessibility. *
  • Cover the NIB Front Desk during receptionist’s two breaks a day and as needed due to unscheduled absences. *
  • Provide support to training and human resources initiatives and handle special projects as assigned, to include the following:

Human Resources: *
  • VETS 100 report; EEO report *
  • Recognition program – stars *
  • Intranet – maintaining departmental content *
  • Employee of the year – letters & certificates; travel reimbursement to annual conference *
  • Telework program – Program Administrator *
  • NIB Socials – back up logistical and administrative support for HR & organization’s activities and events

Learning & Development: *
  • Business Leaders Programs: agency training databases *
  • CMS: physical file creation; maintain database *
  • QWE: assistance as requested *
  • Webinars: assistance as requested

Minimum qualifications: *
  • 2 year degree required from an accredited university or college or equivalent experience. *
  • Minimum five (5) years’ experience in executive administrative support and project management required; two (2) years of experience in human resources, training and/or professional development preferred. Prior experience supporting a team of individuals at a high level required. *
  • Internet research proficiency *
  • Understanding of accounting processes *
  • Detail and deadline oriented *
  • Ability to handle confidential information responsibly *
  • Ability to multi-task and prioritize *
  • Strong communication skills (reading, speaking, writing, emailing) *
  • Competence in interpersonal skills *
  • Self-starter with the ability to take the initiative and anticipate future needs *
  • Ability to apply common sense understanding to carry out tasks and to solve problems *
  • Capable of managing tasks and projects independently *
  • Excellent organizational, data entry and multi-tasking skills. *
  • Experience with Oracle desired.

  • Limited
