Applied Signal Technology (AST), an acquisition of Raytheon SAS, has an exciting opportunity open for a Management Assistant Senior. This person is a key member to the Human Resources department. This individual is expected to foster a collaborative work environment while balancing the needs of internal staff and external business partners. Due to the highly sensitive and confidential aspects of the HR department, it is essential that this person exercises excellent judgment and discretion when interacting with others and in managing information. Ideal candidate is very professional, organized, able to multitask, and has strong communication skills, both written and verbal. Responsibilities include a variety of administrative tasks for the Human Resources department and HR Director, to ensure effective and efficient operations of the department.

Specific responsibilities include managing calendars, arranging travel, preparing expense reports, responding to internal business inquiries, and assisting with the talent acquisition process.

Overview of duties:

  • Interface and communicate with employees at all levels of the organization in a professional manner

  • Provide effective customer support to team members, employees, and candidates through reliable, quick and accurate problem resolution

  • Manage calendars and coordinate events

  • Arrange travel and prepare expense reports

  • Respond to internal business inquiries

  • Assist with the recruiting process by scheduling candidate interviews, arranging necessary travel, initiating background and drug tests, processing hires within HR information systems, and manage on boarding

  • Maintain employment documentation

  • Resolve requests successfully providing excellent customer service, while maintaining composure and escalating as appropriate

  • Synthesize information to create meaningful and effective documents, spreadsheets, and presentations using the appropriate MS Office tools, with attention to detail and competent spelling and grammar

  • Function effectively with minimal supervision, in order to prioritize and accomplish multiple, time-constrained tasks in a fast-paced and dynamic environment

    Required Experience / Skills:

  • Demonstrated experience in maintaining a high level of confidentiality

  • Able to anticipate needs and be proactive in resolving difficulties

  • Prior administrative experience

  • Excellent written and verbal communication skills

  • Strong computer skills

  • Proficient knowledge of MS Word, Excel, and Power Point

  • Able to multi-task, prioritize and work independently as well as collaborate with teammates for effective workload

  • Excellent attention to detail

  • Able to adapt to changes

  • Proven and effective problem solving skills

  • Excellent customer service skills - demonstrate a professional, positive, and collaborative attitude

  • Able to communicate well and respond effectively and with good judgment to non-routine requests or situations

  • Understand and stay on top of task deadlines and due dates. Execute tasks to ensure timely completion

  • Able to problem solve

    Desired Experience / Skills:

  • Experience working within an HR department

  • Working knowledge of Lotus Notes

  • Experience with a variety of HR concepts, practices, and procedures

  • Knowledge of HR processes from hire to retire

  • Experience with PeopleSoft

  • Demonstrated experience planning and organizing schedules and events

    Required Education:

  • A High School or equivalent

  • 4+ years of related work experience

    Desired Education:

  • Bachelor's or Associate's degree from an accredited college or university

  • 4+ years applicable experience in Human Resources.
