Please note this position will work full time in our Midwest regional office located in Naperville, Illinois.

The Administrative Assistant provides a variety of administrative and staff support services for one or more work teams. This position may assist in the preparation and control of records, statistics and reports. The position may assist with program administration, projects, and processes specific to the work team(s) served. The position may serve as administrative liaison with internal and external customers. The Administrative Assistant is expected to consistently produce a high quality work product.

Position Responsibilities :
Perform administrative and clerical duties utilizing initiative, problem-solving skills, good judgment and confidentiality.

Creates and reviews reports. Assists with special report requests as needed.

Assist with customer and team communications.

Coordinate and schedule meetings including room, materials and other arrangements.

Coordinate and assist with department –specific work processes as needed.

Provide special project support as needed.

Provide customer service support to internal and external customers by answering general questions or directing the customer to the appropriate team member.

Functions as team timekeeping reviewer as needed.

Purchase and manage supplies.

Create, track and maintain department correspondence.

Maintain and reconcile expense reports as needed.

Schedule and coordinate travel

Perform record-keeping and other tracking, such as budget, schedules, etc.

Perform a variety of office filing and record-keeping functions.

Non-essential function: other duties as assigned.

Required Skills

Strong accuracy and attention to detail.

Ability to establish and maintain effective working relationships.

Must be highly organized.

Ability to orally communicate clearly and effectively.

Ability to write clearly, using proper sentence structure and grammar.

Proficient in Microsoft office products – intermediate level preferred.

Ability to learn and apply a variety of business-specific information systems.

Working knowledge and understanding of office methods, practices and procedures.

Ability to work independently and in a team environment.

Demonstrates initiative to start and complete work assignments effectively.

Required Experience

High school diploma or equivalent required.

At least two years’ work experience performing administrative assistant/clerical type duties.

Associate’s or bachelor’s degree strongly preferred.
