Multi-media publishing company seeks a motivated and organized self-starter with an interest in working in publishing to provide administrative support to our Book Art and Production department. Responsibilities include handling contracts and invoices, creating and organizing files on server, assisting department staff on a variety of assignments, and handling general administrative duties. The ideal candidate for this part-time (20 hours per week) position is a media-savvy, multi-tasker with previous administrative experience, good communication and computer skills, and has a desire to work in a creative environment.

Specific Duties and Responsibilities:
  • Create and send out contracts to designers
  • Receive and process signed contracts from designers, photographers, and illustrators
  • Receive and process invoices
  • Acquire and maintain titles for the departmental library
  • Ship materials via FedEx
  • Request and send books to contributors
  • Assist with travel arrangements and reservations as needed
  • Process expense reports for Art Director
  • Order color proofs from color center
  • Print and trim pages upon request
  • Maintain organized files and library
  • Create and organize files on server
  • Order office supplies for department
Position Qualifications:
  • College graduate or equivalent
  • Must be an effective communicator, have a flexible work style, and enjoy working in a fast-paced environment
  • Good computer skills are required, previous experience in an office environment
  • Should be media-savvy
