The targeted salary for this position is $33,000.

General Description and Classification Standards

Provides varied and advanced level administrative and support services to an assigned department. Typically supervises lower level administrative support staff, temporary employees or interns. Prepares, reviews, distributes, and. or files routine correspondence, memoranda, letters and reports; attends staff and other meetings and takes notes or minutes. Plans and/or coordinates meetings within department or across departments. Carries out special projects of an administrative or office operations nature; as needed, serves on interdepartmental teams for process improvement or other tasks. Answers calls, responds to general phone, email, or written inquires. Maintains department records and files.

Position differs from Administrative Assistant in the degree of independence, level of contacts (frequent, external, high level), and size of office or organization directly managed or impacted.

Qualified applicant will have a strong ability to communicate and interact with supervisors and other staff members. Candidate will be well skilled in using standard office software such as; Word, Excel, Outlook, SharePoint, and PowerPoint. Individual must be proficient in using specialized office data systems and ability to compile, organize, prepare and maintain an assortment of record, reports and information.

Supervision Received

Works under very general supervision. May work independently or with other workers with responsibility for completion of assigned tasks.

Essential Duties & Responsibilities

Department Org Chart Administrator

Maintaining personnel spreadsheet to include all moves, swaps, reassignments, promotions, bid assignments.

Maintaining the assembly and updates of Accreditation Binders

Scheduling meetings/maintaining calendar

Transcribing notes from meetings

Project tracking/prioritizing

Distributing/receiving outside Assessor requests

KRONOS timekeeper for assigned personnel

Design/review PowerPoint Presentations

Track Operational Initiatives

Budget tracking

Create IPRs for supplies and other expenditures

Maintain confidentiality of all dealings associated with the position/division

Leadership Provided

Routinely provides work group leadership, guidance, and/or training to less experienced staff.

Knowledge, Skills & Abilities

Minimum Qualifications – Education and Experience

Associate’s degree in secretarial science, business/public administration or related field.

3 years' of secretarial, clerical or general administrative experience is required.

Supervisory experience is required.

Microsoft office products experience is required.

Preferred Education & Experience

5 years of experience as an Administrative Assistant, Office Manager, or equivalent

Licensures and Certifications

None required.
