This position provides clerical and administrative assistance to the training coordinator and supervisors and has working knowledge of PSM functions. The Administrative Assistant will provide assistance to the Training Department for correspondence, training manuals, meetings, and maintaining record files as required by established retention guidelines, and serve as backup for the PSM Administrator.

Key Responsibilities:
Develop and/or type correspondence as requested.

Disseminate, track, and file Management of Change (MOC) documentation for Operations personnel.

Provide assistance in developing refinery training materials as required by Trainers.

Provide training materials to update field location files as needed.

Keep the Training Department Web site current with Operations Supervisors

LAN Menu focal point for Training.

Track the Operator Qualification program for the Operations Department and track 3-year reviews, notifying Supervisors 90 days in advance of expiration.

Track and monitor compliance of monthly Operations Safety Huddles, and send package to teams as needed to remain in compliance.

Maintain records as directed by Operations Training area under the records moratorium guidelines.

Schedule Training Department Meetings in Outlook, publish minutes, keep all records current.

Produce SAP entries for requisition of services or materials as required by the department for Training, and make appropriate service entries for payments.

Provide support for training events, i.e. scheduling, meals, supplies etc.

Maintain office supplies for the Training Department; track and maintain supplies, while monitoring supply budget.

Be able to demonstrate full functionality of Active Learner's User/Management/Evaluation Centers processes.

Edit, format, and update procedures as requested by training supervisors.

To be able to create, produce, and update reports inside active learner as requested by Supervisors and Trainers.

Be able to assist learners in enrollment for classes scheduled.

Assist trainers and SME's with course creation inside Active Learner.

Qualifications

EDUCATION:
High School Diploma. AA degree in business, computer technology, English, or other related program a plus.

EXPERIENCE:
Minimum of five years as an administrative assistant. (Prior experience in manufacturing, chemical or related industries preferred.)

SPECIAL SKILLS:
Must have advanced computer skills with demonstrated ability using Microsoft suite products such as Outlook, Word, Excel, Explorer, and PowerPoint.

Ability to type a minimum of 60 words per minute.

Demonstrated proficiency using Active Learner, preferred.

Proficiency with SAP.

Must be a self-starter, with the demonstrated ability to work independently on multiple projects simultaneously while meeting deadlines.

Requires strong organizational, verbal and written communication skills and problem-solving skills.

Must have the ability to maintain confidentiality when dealing with issues of a confidential nature.

Must be willing to work overtime as needed.
