The purpose of this position is to support academic advising professionals and facilitate the day-to-day operations of the Academic Advising Center through excellent customer service, office management and clerical procedures, thus resulting in efficient assistance and customer satisfaction.

**The Academic Advising Center is open Monday through Thursday (8am-7pm) and Friday (8am-5pm). This position requires a flexibility with a current schedule of Monday & Wednesday (1pm-7pm), Tuesday & Thursday (9am-3pm), and Friday (11am-5pm).

Principal Accountabilities

Provide customer service to internal and external customers

Assist visitors, answer telephones, take messages, and respond to inquiries

Ensure smooth, efficient office organization by utilizing existing college processes

Process incoming and outgoing mail

Maintain calendars for academic advisors using MS Outlook calendar

Maintain and order office supplies

Create and maintain correspondence, student records, printed and electronic files for advisor reference

Prepare petition results, and requests for information

Pull Sinclair Community College records and transfer credits

Maintain files of advisees

Create and update all department forms

Prepare requisitions, travel arrangements, accommodations and meetings

Utilize Sinclair’s Colleague System to assist advisors with major changes and checks on student records

Coordinate with supervisor on the hiring, training, and coordination of student employment positions

Coordinate student worker schedules and duties, provide direction; ensure timely completion of payroll time sheets in conjunction with Financial Aid staff

Prepare office reports

Requirements

Minimum of a High School diploma or equivalent required, Associate’s degree preferred

Minimum of two years basic office/clerical experience such as copying, faxing, answering phones, routing mail, ordering office supplies, scheduling calendars, etc. required

Strong computer proficiency with MS Office, specifically Word, Excel, and Outlook required

Experience using educational database system such as Colleague preferred

Superior organizational skills and a high attention to detail with ability to multi-task required

Professional verbal and written communication skills with proper telephone etiquette required

Excellent customer service skills demonstrated in a responsible manner by being knowledgeable, supportive, ethically aware of diversity and cultures, and treating each customer with unconditional positive regard required

Ability to build and maintain strong relationships with the academic advising professionals, providing up-to-date communications with these professionals on the specifics of degree programs, certificate programs and special courses required

  • Ability to quickly get up to speed on college-wide programs and services in order to accurately route students to the appropriate departments and services required
