Position Summary

Under limited supervision, the administrative assistant provides administrative support for the Vice President of Assembly and the Assembly/Production floor. Regularly coordinates meetings and makes travel arrangements. Produces high quality reports, presentations, and other business documents through the use of spreadsheet, word processing, and graphics programs. Composes routine correspondence and corrects grammar, punctuation, and spelling in various documents. Compiles data for routine reports, answers telephone calls, and schedules appointments.

Provides general administrative support to department.

Prepares complex reports and summarizes by collecting and analyzing numerical data and information.

Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs, maintaining equipment inventories; evaluating new equipment and techniques and calibration logs for tools/gauges.

Organize employee events.

Act as the facilities coordinator

Participate in Production floor activities such as Kaizen events and production times.

Coordinates travel arrangements.

Coordinates training.

Coordinates meetings and may take minutes.

Maintains manager’s calendar.

Tracks budget for manager.

Manages end to end process flow.

Arrives to work on time and maintains regular attendance; works assigned shifts and other shifts when needed.

Interacts well with others.

Maintains a positive and cooperative attitude.

Follows FMC Schilling Robotics personnel policies and procedures.

Other duties as assigned

Minimum Requirements

3-5 years of relevant intermediate administrative work experience.

Advanced computer skills using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), preferably Office 2007 or 2010.

Familiarity with lean manufacturing concepts

Exercises complete discretion and confidentiality at all times.

Strong customer service and organizational skills.

Ability to interpret and apply policies, procedures, and system knowledge.

Ability to determine work schedules and priorities.

Ability to use technical and business terminology.

Ability to solve a variety of problems.

Ability to explain work assignments and processes to others.

Physical Requirements

Frequently subjected to interruptions, and multiple calls and inquiries.

May be subject to moderate noise levels requiring the use of PPE.

May be required to wear steel toes boots while on the Assembly floor.
