The Administrative Assistant will provide administrative assistance and support for Dr. Kahn in the Section on Integrative Physiology and Metabolism.
This is a busy, active academic research group composed of individuals from around the world.
Reception of visitors to office, answering office telephone, appointment scheduling, dictation.
Working with the Pre-Award Associate Director in OSR in the preparation of non-scientific components of grant applications and coordination of scientific sections.
Oversee lab and section grant applications of investigators and fellows.
Complete administrative activities to support lab members; including typing and transcription, photocopying, and assistance in preparation of correspondence, papers for publication, meeting abstracts, and grants. Prepare non-scientific components of grant applications.
Timesheet preparation and payroll distribution, ordering of lab and office supplies using electronic ordering system and coordinating maintenance of office machines.
Making travel arrangements and daily scheduling, maintenance of Reference Manager database
Responsible for updating Dr. Kahn’s CV and reprint index and grant files.
Responsible for correspondence, hotel reservations and announcements related to invited seminar series.
The Administrative Assistant must be able to handle many requests on his/her own, prioritize activities, and be capable of handling multiple projects simultaneously. While the investigator travels, the assistant must be able to work independently and address urgent issues in his absence. Computerized ordering system has been instituted throughout the entire Center and the administrative assistant would be a resource for the laboratory and/or section personnel. The Research Administrator in OSR responsible for the Section on Integrative Physiology and Metabolism will work closely with the administrative assistant in the use of grant funding for purchases.
Associates or Bachelors degree
1-3 years of administrative work experience
Proficient in Microsoft Office and other PC software programs
Ability to Type 50+ words/minute
Ability to work in a busy, active office and work with multiple people and different personality types
Ability to multitask, prioritize activities, and show initiative
Ability to work under distractions and interruptions
Self-starter, able to work independently and address urgent issues
