The Administrative Assistant may be responsible for numerous tasks that relate to the day-to-day operations of the ProTrials main office in Sunnyvale, CA; primarily in support of ProTrials Human Resources and Quality Assurance activities as well as general office activities. The Administrative Assistant essential functions are listed below. The ProTrials office environment is fast-paced and dynamic. This position is a non-exempt full time position. Standard work hours are 8 am to 4:30 pm, Monday-Friday.

Essential Functions
HR Support
Support recruitment activities by scheduling interviews, prepares agendas, and maintains applicant data and files.
Administration of employee recognition programs. Tracking, purchasing and coordinate delivery to recipients.
Assist with organizing employee meetings, training, company events, presentations, travel arrangements, and slide preparation.
May coordinate conference calls, often involving internal personnel and/or external parties, and possibly encompassing the use of audio and WebEx technologies.
Create and maintain new hire packets and employee file folders.
Safety coordinator for office staff. Plan and execute emergency evacuation drills, maintain emergency roster.
Assist other administrative team members as needed.
Make travel arrangements for ProTrials staff and managers.

QA Support
Organize and create training files for employees.
Maintenance of training database and trackers
Other duties as assigned
Management Team Support
Send periodic and/or ad hoc reports to Management Team members.
All HR, Finance and client-related information will be maintained as confidential, and will not be disclosed to other clients, vendors, or staff outside the Management team, unless previously authorized in writing.

Minimum Qualifications
High school diploma required and completion of college coursework preferred in Business Administration, Human Resources, and related areas.
At least 2 years of administrative support experience.
Successful completion of the ProTrials interview process, including interviews and reference checks.

Skills and Abilities required
Strong attention to detail.
Excellent written and verbal communication skills.
Intermediate proficiency with MS Office Suite (Word, Excel, PowerPoint, Outlook).
Flexibility with changing priorities. Works well under pressure.
Demonstrates good judgement and discretion when handling confidential information.
Proactive foresees workload needs and communicates to manager, suggests enhancements to current procedure.
Ability to work well with others and assist other team members as needed.
Professional and friendly manner in office, on phone, and in correspondence.

Physical Requirements
Ability to work at the computer approximately 85% of time, including document retrieval, review, and tracking
May involve typing at least 4 hours per day
May involve turning pages repetitively during document review and tracking
May involve opening file drawers and inserting or removing files up to 4" thick
Ability to manage equipment and binders, including on overhead shelves
May require lifting of items greater than 25 lbs.
May require placing items of 10 lbs. or more in overhead shelves K
