Transwestern, a national full service commercial real estate company, is seeking an experienced administrative professional to work in its Denver, CO office. The Administrative Associate is responsible for supporting the Investment Services Group with administrative, marketing, and transactional assignments. It is the responsibility of the Administrative Associate to accomplish responsibilities within Transwestern quality standards and corporate goals in a manner that helps maximize the efficiency of the group and the value of the assigned properties. The ideal candidate would have strong organizational skills and the ability to learn quickly with a heavy workload. It is also the responsibility of the Administrative Associate not only to exhibit legendary customer service when communicating with prospective sellers and buyers, but also to focus on productivity and results.
Essential Job Functions:
Compare and type correspondence (Word processing, meeting minutes, etc.).
Set up and maintain client and prospect contracts, letters of intent, confidentiality agreements, and general correspondence.
Make travel arrangements for agent.
Maintain ACT! Contact and Outlook contact databases.
Organize and maintain files as required.
Responsible for development and production of new business proposals.
Proofing/Editing all distributed material.
Website management – local and social media.
Coordinate with third party vendors on the production of maps, graphs, photos, aerials, etc.
Work with Regional Marketing to complete press releases for all relevant assignments.
Create teasers for active assignments and send to database via Swiftpage.
Assemble ISG newsletter monthly.
Create case studies for all completed assignments.
Assist with information distribution of due-diligence materials during the contract period.
Creation of lease abstracts.
Distribute and track market information for potential buyers.
Research active buyers in the market.
Additional assignments as required by business trends.
High school diploma.
A bachelor’s degree in business management, finance, accounting, or a resource/personnel management related discipline preferred.
Minimum of 3-5 years of previous related work experience in real estate or related field.
Computer proficient, including knowledge in the following programs: Microsoft Word, Excel, PowerPoint, Access, ACT, Adobe Acrobat, Outlook, and Flash.
InDesign skills are a plus.
Must posses leadership qualities and work well in a team environment.
Excellent interpersonal skills – effective verbal and written communication skills.
Ability to produce quality work in a fast-paced environment.
Ability to manage large workloads.
Strong attention to detail – excellent proofreading and editing skills.
Ability to maintain discretion regarding personnel and industry-related matters.
Must be reliable.
Requires some possible lifting (up to 25lbs.)
Uses a computer in conjunction with various software packages the majority of the day.
Uses office equipment (photocopies, binders, phone system, etc.).
Uses audio-visual equipment.
