The Administrative Associate of Healthcare Education and Liaison Programs is responsible for administrative services for the Medical Liaisons and Medical Education departments. Responsibilities for both departments primarily include: File maintenance, calendar maintenance and meeting logistics, document management, internal customer service, and report preparation.
This part-time position is 21 hours and requires working three days per week, preferably Tuesdays, Wednesdays and Thursdays.
Schedule meetings, manage supervisor's calendar and secure conference rooms, when needed.
Prepare meeting packets, handle mailings to field-based staff and others.
Prioritize and execute initiatives in the most efficient and objective manner.
Accomplish other projects, tasks and duties as identified by the immediate supervisor.
Take initiative and demonstrates ability to coordinate multiple tasks in a fast-paced environment simultaneously.
Establish and maintain department files, following up on pending matters. This includes, but is not limited to, SharePoint site, electronic and paper files, monthly audit reports on files, folder names, and archiving. This may also require follow-up on outstanding items in a timely manner.
Receives and screens telephone calls, letters, and e-mail. Answers routine questions and furnishes information.
Prepares routine letters and memoranda.
Route agreements and contracts.
Update and maintain various department databases such as vacation/sick time tracking and completion of trainings by field-based employees.
Assist with tracking of metrics as part of department objectives.
Assist with new hire orientation, coordinating with Human Resources, Corporate Security, Information Technology, Fleet Department and others.
Format, proof and assemble documents, often of a highly technical and/or confidential nature.
Assist with travel arrangements ,expense records,for supervisor.
Organize and expedite flow of work through supervisor's office. Initiate follow-up action, as required.
Provide back-up administrative support to other directors/managers as requested.
Schedule appointments for Department, as needed and make arrangements for meetings, conferences, and travel for group as required.
Prepares special reports, gathering, analyzing and summarizing data.
Assist visitors with logistics and greetings.
Assist with Excel spreadsheet maintenance.
High School required, Associates degree preferred.
Required Experience & Technical Requirements
