Perform advanced secretarial and administrative support functions in a department or work unit. Incumbents in this position may be required to use and be familiar with specialized terms, practices or systems.

Examples of essential functions:
Provide complex administrative support to department or work unit. Interpret and explain policies and procedures and resolve problems or complaints as necessary.

Provide accurate customer service to university personnel and general public. Develop and maintain a positive customer service orientation.

Maintain and reconcile budgets for department or unit. Monitor expenditures and perform simple analysis on accounts. Research discrepancies and prepare special and recurring reports.

Prepare paperwork related to specialized function of department or work unit. Research, summarize and analyze information. Calculate statistics and compile data.

Create and maintain records and filing systems for technical, financial and project files.

Plan and arrange conferences, meetings and related accommodations. Type letters, memos, registration forms, badges, etc. Compile and disburse information for meetings.

May supervise, monitor, coordinate or provide training for staff.

Minimum Qualifications

Education: Associate’s degree

Experience: Three to four (3-4) years of secretarial/clerical experience; or any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Knowledge of standard office practices and procedures.

Knowledge of travel and reimbursement practices and procedures.

Knowledge of customer service skills.

Knowledge of appropriate office etiquette.

Knowledge of a variety of office equipment.

Skill in using computers and related software.

Skill in composing letters and preparing reports.

Skill in verbal and written communication.

Skill in the operation and use of a variety of office machines and equipment.

Skill in working with a diverse population.

Extensive experience and knowledge in using computers and software such as Microsoft Suite (Word, Excel, Access, PowerPoint).
