The Administrative Assistant II will provide administrative and clerical support related to the operations of the Genetic Diagnostic Laboratory. Primary duties relate to accessioning patient specimens, creating and maintaining clinical charts, use of the laboratory information system, billing related to testing, and customer relations. Other clerical duties are related to answering the telephone, time keeping, ordering office supplies, tracking of laboratory productivity, and assisting in maintaining laboratory accreditation. The Administrative Assistant must have a strong working knowledge of computers to create and edit Word and Excel documents. Due to the clinical nature of the work in this area all information must remain confidential.
Required: High school graduate.
Preferred: Two years post high school education/training
Required: Three years applicable secretarial experience with proficiency in Word and Excel.
Preferred: Knowledge of Kronos, PeopleSoft systems, Invision, WebNow

Department Position Summary:
Responsible for answering telephones, retrieving patient specimens from within the Baroness campus, entering patient information into laboratory information system (MEDGIS), entering billing charges, preparing specimens for shipping, reviewing monthly invoices from reference laboratories and preparing check requests for payment, mailing/faxing patient reports, preparing biweekly and monthly productivity reports, preparing Kronos reports, establishing and maintaining patient files, ordering office supplies, updating laboratory documents in Word or Excel as needed. Patient confidentiality, organization skills and superior attention to detail is mandatory. Requires the ability to work as member of self-directed work-team in a quiet and professional work environment. Must have excellent skills in communication, customer service and office management. Must have ability to organize, prioritize and accomplish tasks with minimal supervision. Assists the Laboratory Director in any additional projects or tasks that may be assigned.
