DESCRIPTION

Organizational Overview:
T. Leroy Jefferson Medical Society (TLJMS) is a private, not-for-profit corporation organized for the purposes of providing a venue through which doctors and other health care professionals can bond together to empower the underserved population in our community through education, advocacy, and guidance. The intent is to create a spirit of wellness and convey the benefits of total well-being through prevention and intervention services in the community.

Summary of Work:
The Administrative Coordinator is a part time position (20 hours/week) that supports and coordinates the administrative functions for TLJMS, including general office support; board/governance support; meetings and events management; clerical and reception duties; special projects assistance; and other duties as assigned. Salary range is $18 - $20/hour.

DUTIES

Coordinates and performs a range of operational support activities. Provides administrative support such as answering telephones, assisting visitors to the office, and resolving and/or referring a range of administrative problems and inquiries
  • Organize logistics for meetings of the executive committee, general membership, and other committees, including developing the agendas, compiling meeting minutes, distributing meeting packets, sending out meeting notices, and ensuring access to the venue. Attends all meetings.
  • Extract information from member applications/profiles to populate member database. Update membership database and develop monthly membership reports. Establishes, maintains, and updates files, databases, records and other documents.
  • Generate all pertinent correspondence for new members, prospective members, including welcome letters, renewal notices, and member engagement.
  • Increase the community's awareness of TLJMS's mission, vision, programs, and activities. Preparing newsletters, flyers, and other promotional materials.
  • This position requires nights and weekend hours. Reliable transportation is required.
  • Other duties as required.
QUALIFICATIONS

  • Mission-oriented and committed to the philosophy of T. Leroy Jefferson Medical Society.
  • Significant administrative experience.
  • Team player with excellent interpersonal skills.
  • Solid organizational and coordinating skills.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to create, compose, and edit written materials.
  • Ability to prioritize, multi-task, and meet competing deadlines.
  • Ability to make administrative/procedural decisions and judgments.
  • Expertise in Microsoft Office suite, website content management, records and database maintenance.
