To provide administrative professional support in the efficient operation of a school site. Assist the School Director with all related tasks necessary for the efficient operation of the school.

ESSENTIAL DUTIES AND RESPONSIBILITIES (include but are not limited to):

Places and receives telephone calls, fields questions and records accurate messages

Greets students, staff, and visitors in a pleasant and professional manner.

Formats, composes, and types various correspondences, reports, notices, and other documents using MS Word or Excel. Reviews documents for accuracy and completeness.

Compiles operational statistics and other data as assigned.

Produces daily, weekly and monthly reports as assigned in a timely manner.

Maintains student attendance rosters, posts grades to student credit sheets, and creates certificates.

Contacts parents and outside agencies as instructed by the School Director.

Processes new hire paperwork, reviewing packages for completeness and accuracy.

Orders office supplies and maintains office machinery.

Receives and distributes incoming supplies and maintains/processes appropriate shipping and billing information for the school site.

Opens the mail, distributes, and processes incoming correspondence.

Maintains a regular filing system, including locked, confidential files.

Reports any developments or problems requiring the attention of the School Director.

Actively participates in the planning and preparation of school activities including open houses, parent-teacher meetings, field trips, and audits.

Prepares purchase orders, check requests, expense reimbursement vouchers and reconciles and maintains petty cash fund as necessary.

Is knowledgeable about company and school site policies and procedures and standards of operation and uses that knowledge to assist the School Director andHRon (and maintains confidentiality of) critical staff and student situations including sexual harassment investigations, compensation matters, and disciplinary actions or terminations.

Performs various duties including, but not limited to, photocopying and faxing in support of the School Director and staff.

Performs such other tasks and assumes such responsibilities as the School Director may from time to time assign or delegate.

High school diploma required, associates degree preferred.

Four (4) years employment in secretarial work or graduation from an approved secretarial school/college and (2) years employment in secretarial work, or an equivalent combination of experience and training.

MS Word, Excel, and email experience. A minimum typing speed of 50 words per minute accurately.

Experience in establishing and maintaining comprehensive filing systems, which includes confidential information

Possesses a combination of skills to include record keeping and operating office machines.

Ability to independently prioritize and to function accurately and smoothly under pressure.

Ability to maintain confidentiality regarding student and staff situations and sensitive school and company information.

Must be able to read documents and respond to inquiries.

Proven ability to work in a polite and friendly manner and relate to a variety of constituencies, including, but not limited to administrators, parents, teachers, students, other school staff, and school visitors.

Possesses excellent verbal and written communication skills.

Possesses excellent organizational skills.

Must possess a sense of humor.

FLSA STATUS: Non - Exempt

PAY GRADE: Determined locally

TRAVEL: Local travel primarily.
