Brookhaven National Laboratory is a nonprofit research and development institution whose purpose is to advance ideas and knowledge through a multidisciplinary program of basic and applied research. The Photon Division of the Photon Sciences Directorate currently has a full-time opportunity for an Administrative Services Assistant in the Users' Office.

Organization Overview:
The Administrative Services Assistant for the Photon Sciences Directorate (PSD) User's Office will provide administrative support and will have extensive interaction with the PSD user community and staff. The candidate's main responsibilities will include data entry and tracking of experimental and training forms; updating and monitoring email list servs; interacting with the scientific user community for monitoring and confirming training, issuing personal dosimeters and ID badge encoding; and performing associated administrative tasks. Additional duties include reviewing requests for site access, assisting with coordination of major Photon Sciences Directorate activities such as the annual Users’ Meeting, workshops, Summer Sunday, and other outreach functions, as well as handling non-routine office matters on a daily basis.

Required Knowledge, Skills and Abilities:
Requires formal secretarial or office administrative training or equivalent with a minimum of four (4) years' substantive and relevant administrative or secretarial experience. A bachelor's degree in a business field with coursework, or training specifically related to the position requirements, may offset qualifying experience, as would an associate's degree with a minimum of two (2) years related experience.
Ability to manipulate and analyze data as directed by the manager of the Users’ Office.
Ability to work independently within established procedures.
Basic database development and maintenance skills, with proficiency in MS Access, Word and Outlook.
Strong analytical, communication, and interpersonal skills, as well as a team-based orientation.

Preferred Knowledge, Skills, and Abilities:
Experience at BNL in a similar role; knowledge of BNL policies and procedures
Experience with the Brookhaven Training Management System and reviewing GIS requests for laboratory appointments;
Experience using PeopleSoft HR/Financials
Experience coordinating travel
A clear understanding of acceptable working INS documentation and all supporting documents associated with work-type visas

Other Information:
Position is a nine month term.

Environmental, Health, and Safety Requirements:
Candidate must be able to occasionally lift up to 30 lbs.
