Masco Contractor Services (MCS) has an immediate opening for a part-time Administrative Specialist in our Meriden, CT location.

The Administrative Specialist is responsible for processing work orders in a timely and efficient manner. This position is also responsible for all reporting and administrative tasks associated with the generation of work orders.

Essential Functions of the Job
Ø Responsible for Order Management activities (includes creating new orders, change orders, warranty and repair orders and order cancellations.
Ø Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
Ø Compute, record, and proofread data and other information, such as records or reports.
Ø Maintain and update filing, and database systems, using a computer.
Ø Open, sort and route incoming mail, answer correspondence, and prepare outgoing mail. Review all work orders, files, records, and other documents to obtain information to respond to requests.
Ø Communicate daily with key stakeholders (Scheduler, Sales Staff, and Production Staff).
Ø Review customer schedules to monitor upcoming jobs.
Ø Manage and organize signed Work Agreements, Sales Takeoffs, and sales quotes and place and book orders as necessary.

Education/ Experience
Ø High School Diploma or GED.
Ø Prior experience with work orders a plus.
Ø Must be detail oriented, excellent communicator, highly organized and able to follow detailed instructions.

Skills and Abilities
Ø Must have good mathematical skills including the ability to perform calculations, ability to create, consolidate and modify work order information.
Ø Proficient in Office Software like word processing, and spreadsheets.
Ø Knowledge of ERP Systems a plus.
Ø Requires self-management and project management ability
