The Administrative Specialist II for the Nurse-Family Partnership (NFP) at the Kent East Hill Public Health Center will provide support to a team of 8 nurses and 1 supervisor, within the structure of a national evidence-based nurse home visiting program. This position supports health care services that are provided to economically, socially and culturally diverse first time pregnant and parenting mothers and families. The Administrative Specialist II is the center of the Nurse-Family Partnership team. This position will interact with client data from the time the referral is received and processed until the client graduates from the NFP program (possibly a 2.5 year time frame). The Administrative Specialist II for NFP is expected to consistently maintain excellent customer service standards with both internal and external customers.

    Work Location: This full time career service position will work at the Kent East HIll Public Health Center - 13210 S.E. 240th, Kent, Washingtong 98042.

    Work Schedule: 8 am to 5 pm, Monday through Friday. This position is subject to the Fair Labor Standards Act and is overtime eligible.

    Examples of Duties:
    • Perform accurate and timely input of client data into various databases, spreadsheets and web-based information systems and produce reports in order to meet program requirements.
    • Process referrals for the NFP nurses, to include: opening and maintaining medical charts while maintaining confidentiality and adhering to department and HIPAA regulations.
    • Maintain, track and compile various kinds of program data, including spreadsheets. Assist with the preparation of associated reports.
    • Respond to inquiries from internal and external customers in a timely manner..
    • Distribute incoming mail and prepare outgoing mail for pick-up.
    • Attend meetings and take minutes for later distribution to other staff and community partners.
    • Perform word processing tasks to include: writing, proofreading and editing of various documents including meeting minutes and program reports.
    • Manage ongoing copying and assembling of NFP materials such as handouts, packets, fliers etc..
    • Manage inventory control for NFP supplies and equipment and order as needed. Compile and maintain materials and supplies related to family planning.
    • Perform other duties as assigned.

    • Working knowledge of general office policies, principles and practices.
    • Demonstrated ability to use Microsoft Word, Excel, Outlook and web-based applications in the regular course of performing work duties. This will include the ability to enter and track information in multiple database and spreadsheet formats and produce reports from that information to meet program requirements.
    • Demonstrated knowledge of basic accounting and mathematics.
    • Demonstrated ability to employ proper English grammar, usage and spelling, both orally and in writing.
    • Working knowledge of standard operation of office equipment that may include personal computers, copiers, fax machines and multi-line telephones.
    • Demonstrated ability to deal with a diverse group of internal and external customers, under varying degrees of stress, with cultural sensitivity, discretion, etiquette, patience, and professionalism.
      Demonstrated ability to move up to 25 pounds in order to move boxes and replenish office supplies. This may involve intermittent sitting, lifting, standing, stooping, bending and reaching during the course of the work day.
    • Ability to work effectively in a team environment, demonstrating respect and courtesy to others.

    Desired Qualifications
    • Knowledge and prior experience working in a Nurse-Family Partnership Program desired.
      • Demonstrated ability to track multiple tasks of moderate complexity and to change priorities as situations may require it.
      • Working knowledge of Public Health software programs for scheduling and registration.
      • Demonstrated skill in training and/or orienting co-workers.
