Non-exempt; full-time; 40 hours per week; Monday – Friday; 7 a.m. – 3:30 p.m.; full-benefits

The primary focus of this position is coordination of in-house and agency staffing in the Nursing Department. Related secretarial, administrative and clerical duties will support the Nursing Division, as well as other CNH departments as assigned. Direction may be received from the Administrative Specialist V, supervision is received from the Assistant Director of Nursing and/or the Director or Nursing.

Examples of Work:
  • Prepare and maintain master schedule for nursing personnel (both contractual and on-staff); monitor attendance of nursing personnel at all levels; notify Director of Nursing of any patterns of tardiness, absenteeism
  • Minimize usage of supplemental staffing; compare and verify hours billed to daily schedule if supplemental staffing is utilized; report variances to Director of Nursing and to business office
  • Maintain record of paid time off requests; monitor requests to insure employee has time accrued; verify that time off will not adversely impact provision of resident care
  • Maintain record of licenses, certifications, background checks and PPD status of all contractual personnel
  • Work with Staff Development Registered Nurse to schedule orientation of new employees
  • Coordinate time needed to meet in-service training requirements
  • Monitor overtime of employees; minimize scheduling employees for excessive overtime
  • Coordinate the use of accrued leave time
  • Contact on call employees as needed to cover for unscheduled absences
  • Create, update and maintain data bases, spreadsheets and other computerized and manual files and filing systems
  • Compose and prepare memorandums, professional correspondence and other written work for personal signature and/or for supervisor’s approval and signature
  • Assist with monitoring budgeted expenditures, including calculation of staff hours per resident day of care
  • Assist with payroll processing in the absence of assigned staff
  • Utilize computerized procurement system to requisition office supplies; perform other fiscal actions as needed
  • Perform clerical and office support duties as needed (e.g. receive and store supplies, file, photocopy, collate, etc.)
  • Perform other related duties as required

Qualifications & Requirements:
  • High school graduation or the equivalent
  • Minimum 2 years of staff scheduling work experience in a healthcare environment
  • Minimum 2 years of computer experience using software and/or programs related to scheduling (NOTE: MS Outlook and similar programs will not be considered scheduling software)
  • Computer experience or training that includes word processing and spreadsheets
  • Strong mathematical and clerical skills including the ability to accurately compile and verify data, and to prepare and maintain files, records, forms, spreadsheets, etc.
  • Ability to effectively access and utilize word processing and data management systems and equipment, and to learn to utilize new software as appropriate
  • Ability to effectively make independent decisions, prioritize work and complete assigned duties with minimal supervision
  • Ability to respond quickly, calmly and effectively in emergency situations
  • Discretion and good judgment in dealing with personnel matters and other confidential/sensitive information
  • Ability to develop and maintain effective working relationships with residents and their family members, co workers, other County offices/agencies, professional staffing agencies and the general public
  • Strong and effective spoken and written (English) communication skills
  • This position and the physical workplace may include exposure to air contaminants, hazardous chemicals, infectious waste, diseases and medical conditions, etc. (e.g. Tuberculosis, AIDS virus, Hepatitis B virus, etc.)
  • Associate's degree in a health care or business related field
  • Work experience in a long term care setting
