Responsible for the supervision of administrative personnel who directly support the investment, marketing, corporate and client service teams. The supervisor manages all personnel, staffing, coverage, compensation and budget for their direct reports and oversees operational activities related to either administrative, analytical, processing support and/or client servicing. The supervisor works independently, is self-directed and proactive. The supervisor interacts closely with relevant team and project managers and customer management (Investments, Marketing and CMC Lead Managers) to ensure that business requirements are successfully supported.
Supervisors also work with Administrative Services colleagues, relevant stakeholder managers, and Section Managers to assess growing and changing service needs and helps develop and implement business plans within the division and mindful of various customer group requirements (including: PMs, Analysts, Client Service and Marketing Professionals, etc.). Partners with stakeholder groups to accomplish work and ensures front line processes, procedures and continuity plans are kept current and relevant training is executed. The supervisor is the first line of contact for customers to register questions, concerns, urgent issues and changes to internal and external client support needs.
Manage the day-to-day activities of associates and resolve problems. Monitor workloads to ensure proper balance; redistribute work to maximize efficiency. Anticipate changing needs, streamline activities and manage growth. Manage vacation and other absences and coordinate resources to meet coverage requirements and provide seamless support.
Conduct interviews, screening, selection and on boarding of applicants and new hires. Provide coaching, counseling and termination activities. Draft and administer performance evaluations, recognition and corrective action cases; conduct one-on-one and team meetings, and partner with associates on appropriate coaching, training and career development.
Work directly with customers and their designates (managers, investment staff, divisional leadership) to confirm, communicate, support and execute manager’s requirements of new and existing products, systems and development, equipment needs, space requirements and personnel issues to front line direct reports; partner with related stakeholder teams (other internal and external departments and customers) to ensure workflow, processes and procedures are revised, communicated and executed consistently.
Ensure frequent and consistent communication across all levels. Propose solutions and ideas to increase staff retention, performance, and morale and resolve conflicts. Monitor roles within groups and determine if and where restructuring is appropriate; execute changes as needed.
Act as project manager for initiatives geared toward improving and streamlining work flow and activities that support the division.
Monitor overtime and temp spend and individual cost center budget; gather and communicate data for annual budgets; assist with reforecasting throughout the year; partner with peers and senior managers on outline for annual business plans and cyclical updates to staff and customers on status of projects, initiatives, automations, and progress.

Solid understanding of all divisional and corporate policies and procedures
Ability to manage difficult/sensitive situations discreetly and bring to a successful conclusion
Strong technical Skills; Microsoft Office preferred
Bachelor’s degree/Business or Management preferred
Team Leadership or supervisory experience preferred
College degree or a high school diploma/equivalent and a minimum of three years related work experience.
