JOB TITLE: Administrative Support Coordinator (ASC)

PROGRAM: 14th Street Administration

ACCOUNTABILITY: Chief Administrative Officer (CAO)


Under direct and immediate supervision of CAO, provide high level administrative support, including but not limited to, clerical and administrative functions.

  • Provide dedicated and direct front desk support for 14th St. building
  • Demonstrate strong interpersonal communication skills with ability to manage and diffuse potentially charged interactions
  • High level of dependability and reliability
  • Manage visitor relations including greeting visitors, managing visitor log and badges, and monitoring visitor whereabouts in the building through direct interaction and security cameras
  • Manage parking gate entry
  • Display finesse in handling multiple in-bound as well as outbound phone calls
  • Oversee and maintain global reservation requests for resources such as vehicles, conference rooms, and other similar programs
  • Run the 14th St. office mail program, including signing and receiving packages and deliveries, and maintain postage meter
  • Track, maintain, and coordinate supply inventory for all 14th St programs and kitchen areas
  • Provide periodic administrative support to programs and departments when the need arises to coordinate meetings and schedule appropriate participants
  • Implement and monitor specific Agency procedures and systems and prepare all related materials and reports
  • Maintain administrative records, as required, and implement policy on confidentiality and monitor security of records and files
  • Create and manage development database and data sheets, collect and enter data, and generate summary reports
  • Compose and produce correspondence and other documents and design and generate reports
  • Process documents and statements related to billing for services rendered, as required
  • Document incoming checks/gifts and report to Development and Finance Departments
  • Coordinate emergency response procedures, including managing emergency contact list and Emergency Response Plan
  • Attend required meetings as assigned
  • Follow Agency policies and procedures
  • Participate in Agency in-service training program
  • Understand and follow all Lincoln Child Center safety policies, procedures and rules
  • Perform all job duties safely
  • Attend all required safety training sessions
  • Identify and immediately report all workplace hazards, safety rule violations, near misses, and work-related injuries
  • Perform other duties as assigned
  • Minimum A.A. degree strongly desired; Two (2) years' college education or relevant experience/clerical training
  • Three to five years in administrative positions that demonstrate increased level of responsibilities; administrative experience or additional relevant education or training
  • Computer experience within a network environment
  • Proficiency with MS applications (Access, Word, Excel, e-mail, Power Point, etc), measured by Lincoln Child Center skills test
  • Valid California driver's license, a clear driving record and personal vehicle insurance coverage

No physical restrictions that would impair the employee from safely and efficiently performing assigned duties. Ability to work in place for word processing, data entry and performing other clerical tasks at an ergonomically correct work station with periodic breaks for up to four hours in one stretch.

  • Ability to communicate effectively verbally and in writing
  • Good interpersonal relationship skills in working with supervisor and co-workers
  • Excellent organizational skills and the ability to work independently
CLASSIFICATION: Regular, full-time, non-exempt, benefited position

SCHEDULE: Generally weekdays from 8:00 am – 5:00 pm, some evenings


COMPENSATION: Union Salary Scale
