***THIS POSITION IS OPEN UNTIL FILLED*** The Recreation, Parks, and Tourism Administration Department (RPTA) is a major academic unit within the College of Agriculture, Food and Environmental Sciences (CAFES). The Department provides a B.S. Degree in Recreation, Parks, and Tourism Administration. It offers a M.S. Degree in Agriculture with a specialization in Recreation, Parks, and Tourism Management. The current enrollment is approximately 300 students. The Department is comprised of a Department Head, 6 full-time faculty, 3-5 part-time faculty, and 1 administrative staff person. Under general supervision of the department head, this position performs a variety of administrative and specialized office functions of a responsible and complex nature in support of the RPTA department. Serving as the primary department contact, this position: oversees daily operations of the department office; provides administrative support for academic programs (e.g. class scheduling, catalog/curriculum revisions, student activities and clubs); assists with budget planning and monitoring account transactions; and supports the department head in coordinating faculty, staff and student assistant personnel matters. This position also provides a full range of general office support in the areas of scheduling appointments and meetings, coordinating travel arrangements, composing routine correspondence and generating reports, and organizing special events.
Minimum Qualifications (Staff Only)
High school diploma or its equivalent. Type 45 wpm. Four years of general office support or technical experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience)
Required Qualifications / Specialized Skills
Ability to use initiative and organizational and time management skills to independently anticipate, plan, prioritize, and coordinate workload resulting in the completion of daily tasks and long-range projects with overlapping deadlines. Ability to use judgment and discretion to act when precedents do not exist. Working knowledge and experience in record keeping, knowledge of accounting, budgeting and ability to perform standard business math to monitor department expenditures; ability to make accurate projections using accounting principles. Ability to work in a one person office with constant interruptions and deadlines. Ability to effectively communicate information in a clear and understandable manner, both in writing and orally, with faculty, staff, students, and the general public. Thorough knowledge of English grammar, spelling, punctuation, proofreading, and office methods, procedures, and practices. Ability to effectively write and prepare reports. Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, desktop publishing, on-line systems, Internet as well as online calendaring and email. Demonstrated customer service experience requiring a high level of diplomacy and professionalism. Demonstrated ability to maintain a high degree of confidentiality. Skill in providing direction and performing work in situations where a variety of demands and functions are involved. Ability to adapt to changing policies, procedures, and technology. Ability to collect and evaluate data to develop valid conclusions and recommendations. Ability to use tact and diplomacy in handling effectively a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems using reasoning and judgment. Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative and productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds. Ability to interpret, communicate and apply policies and procedures. Working knowledge of or ability to quickly learn University infrastructure, policies and procedures. Ability to use negotiation and persuasion skills to achieve results and expedite projects. Ability to recruit, train, schedule, and provide lead work direction for student assistants.
Preferred Qualifications / Skills
Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude. Experience with compiling comparative data from other departments, colleges, or industries. Experience with Microsoft Office Suite; i.e. Word, excel, Publisher, PowerPoint. Experience with campus specific applications including PeopleSoft, PolyData Dashboards, Business Objects Enterprise (BOE), Cal Poly Jobs, Student Payroll System, Zimbra Calendar and E-mail. Comprehensive and detailed knowledge of appropriate university/college/dept. and/or federal/state policies and procedures.
Special Conditions (Staff)
***THIS POSITION IS OPEN UNTIL FILLED*** Must be willing to travel and attend training programs off-site for occasional professional development. Must be willing to work occasional overtime to meet deadlines and to participate in occasional events scheduled outside the normal 40-hour work week. Must have ability to safely move and unload boxes of supplies/ files and placing them in the storage areas. Job may require occasional lifting and/or moving of heavy office supplies and paper. Must have ability to enter and retrieve information using a computer keyboard and monitor for extended periods of time. Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business. The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
