Ke`aki Technologies has an exciting opportunity for an Administrative Support Specialist. The position will be located at U.S. Army Medical Research Institute of Chemical Defense (USAMRICD) in Aberdeen Proving Ground, Maryland. The position requires a favorable NACLAC background check, and a signed confidentiality agreement.
Experience: Minimum 3 years
Education: Requires a high school diploma or equivalent.
Perform all administrative functions essential to the mission of the organization assigned.
Plan, coordinate, and arrange conferences, special events, etc. for the Division including preparing agendas, assembling handouts, and notifying participants.
Control, schedule and maintain the calendar and manage time for the Division Chief. Receive visitors, answer phones and direct them to proper staff.
Review incoming mail, forward tasks that require action ensuring priorities are completed. Keep personnel informed daily by communicating electronically and verbally.
Maintain suspense files, advise staff of tasker’s due, ensures Institute suspense’s are completed before or by due date. Routinely uses various office automation and information technology equipment including software packages such as Microsoft Outlook, Word, Power Point, Internet Explorer, Access, Excel, Timekeeping (ATAAPS), DTS, ARIMS and AIRSweb to prepare various documents.
Manage requisitioning, sorting, and issuing office supplies and other equipment. Apply specialized knowledge of various office automation programs to maintain administrative records, retrieve stored information when requested, and present data in a functional format as required.
Receive requests for information from files and records and follow up with staff to ensure information is provided, recorded and maintain supporting data in accordance with current regulations.
Routinely resolve non-technical problems, both general and specific in nature.
Compose non-technical correspondence for inside the Institute and outside agencies. Prepare and review format, composition and spelling of all outgoing Division or Branch correspondence.
Enter all timekeeping information for the Division using ATAAPS. Utilize extensive knowledge and experience in the Defense Travel System (DTS) to make travel arrangements, prepare Civilian and Military CONUS and OCONUS travel requests, prepare travel orders, travel vouchers and local travel vouchers for the Division. Maintain records for employee training and prepare training requests with the use of AIRSweb.
Perform the following office automation functions:
Prepare a variety of materials using an electronic typewriter, word processing and other types of software, such as spreadsheets, graphics and briefing packages and MS-Project. The work requires a competitive level of proficiency in typing as well as knowledge of office hardware and software systems, to include ability to solve minor problems and quickly obtain help for more serious ones. Material production involves creating, editing and reformatting lengthy reports requiring advanced functions such as those required to generate tables of contents, statistical data with multiple columns, technical directives, correspondence, and lists of exhibits; using database or spreadsheet software to enter, revise, sort or calculate, and retrieve data for standard or special reports; and using graphics software to provide graphic symbols, charts and graphs. Prepares charts and multi-colored MS-PowerPoint presentations with minimal guidance using state-of-the art computer graphics and laser printers. Because of the importance of the mission and high visibility of the presentations (nationally and internationally) the visual aids must be aesthetically pleasing as well as graphically correct. Short lead times due to the urgency of briefings and the classified nature of the programs usually preclude preparation of audio visual aids by the AV group. The preponderance of material involves use of highly technical chemistry, toxicology and biology terminology and symbols. Thus, Contractor must be familiar with and experienced in working with multi-disciplinary scientific language. Responsible for proper spelling, grammar, format and arrangement of material.
Uses electronic mail to transmit and receive information. Serves as timekeeper to multiple teams; maintains records as required; inputs time and attendance into automated system. Processes and monitors status of procurement orders by electronic system.
Provide administrative support to manage civilian and military personnel, manpower, records and forms management, and training for the Institute.
Prepare and track policy and regulations, and additional duty appointments.
