Position Summary:
The Associate Vice President, Financial Aid & Services – Program Administration & Support position is a full-time employment opportunity. The Associate Vice President (AVP) holds responsibility over staff and vendors at various locations that support the administration, delivery and reconciliation of Title IV and Military programs. The AVP provides oversight, support for vendor activities, project, and university initiatives. The AVP ensures appropriate protocols exists governing the institutions application, administration and close out of the Title IV programs.

Essential Job Duties:
  • Understand, pursue, and strive to fulfill the university’s mission and core values.
  • Ensure the following occurs timely and accurately:
o annual FISAP & external reporting
o R2T4 calculations
o VA & TA Vouchers
o program closeout
o reconciliation
o curriculum development and training
o provide technical guidance related to Title IV and state regulatory compliance
o collaborate across departments to optimize service levels and performance
o oversee recruiting, training, persistence, and development of all departmental staff
o participate on internal or external committees as appropriate
o support the Vice President Financial Aid & Services and department peers as needed
o resolve escalated student issues and proactively modify root-cause processes

Additional Job Duties (include but are not limited to):
  • Regularly interpret regulations, develop and test internal policies, procedures and controls to ensure they conform to all federal, state and related program and professional standards.
  • Support any external audits, develop action plans, remediate exceptions and participate in audit entrance and exit meetings.
  • Coordinate with the New Student, Continuing & Re-Entry and Default Aversion Teams to ensure program integrity is maintained.
  • Conduct internal assessments to test controls, ensure adherence to establish policies and procedures and identify gaps.
  • Establish proper oversight and continual assessments of our supporting vendors.
  • Effectively manage their P&L, ensure staffing levels are appropriate.
  • Reconcile transactions, documents, reports and invoices ensuring accuracy and integrity are maintained.
  • Maintain repository of departmental policies, procedures, templates, scripts and training aids.
  • Ensure the department operation manual is current.
  • Develops, maintains and tests business continuity plans.
  • Evaluate and develop staff, communications and processes to ensure adherence, operational effectiveness and services are delivered in a timely and professional manner.
  • Support our vision and provides leadership within Financial Aid & Services on matters of regulatory compliance, operational excellence, institutional eligibility and administrative capability.
  • Manages projects and prioritization of initiatives for Financial Aid & Services.
  • Ensure the ongoing integrity and viability of all financial aid programs and will ensure the Vice President of Financial Aid & Services, the Sr. Vice President of Administrative Services and their peers are kept informed.
  • Represent Financial Aid & Services and/or the University in public forums and will at all times conduct themselves in a positive and professional manner.

Minimum Requirements:
  • Ten+ (10) years of direct program management.
  • Seven+ (7) years of post-secondary experience as a Financial Aid Director.
  • Five+ (5) years leveraging university student information systems and applications.
  • Experience with call centers technologies, including the Work Force Management, CRM, Dialer, Chat and call center phone systems.
  • Experience in training and motivating staff in a decentralized environment and managing services from a third party vendors.
  • Direct P&L responsibility.
  • Experience with CampusVue or similar student information system, NSLDS, National Student Clearinghouse, CPS, COD.
  • Excellent management, communication, analytical and organizational skills.
  • Strong compliance orientation and experience with regulatory environment and audits.

  • Proficiency in Microsoft® Office Word®, Excel®, Outlook®, and PowerPoint®.

Preferred Qualifications:
  • Master Degree from a regionally accredited or approved nationally accredited institution.
  • Experience with Avaya Phone and/or CampusVue System.
  • Ability to:
o perform in a fast-paced, growth-oriented and goal-based environment
o partner cross-functionally with other disciplines to deliver exceptional service
o interact and support executive and senior management
o manage a large team in a complex integrated environment and supporting vendors

Education:
  • Bachelor degree from a regionally accredited or approved nationally accredited institution required.
