B-cycle, LLC is looking for a qualified Office Manager to work fulltime in our Madison office. We believe in bikeshare. We believe in our product. We believe in our customers. As a start-up company, it is important that the selected candidate have a fun and flexible attitude and be willing to do a wide variety of tasks in a fast-paced environment. Selected candidate will possess excellent organizational and customer service skills. Must be self-motivated, goal oriented, and team driven .

  • Answer phone calls from bikeshare customers needing assistance and/or billing adjustments
  • Assist in monitoring system station performance via B-cycle’s administrative website
  • Proactively call customers to address billing and program questions
  • Compile reports and summaries relating to customer service calls and inquiries
  • Assist B-cycle’s Tier I Customer Service Representative and Tier II Customer Service Representative as needed.
  • Maintain library of historical B-cycle documents, reports and files
  • Maintain FTP sites
  • Manage office, supplies, postage, IT, etc.
  • Create presentations and reports as needed
  • Manage incoming and outgoing mail
  • Coordinate scheduling and communication of staff and Board of Director meetings
  • Meet weekly with B-cycle Finance Manager to coordinate and monitor accounting tasks
  • Cost analysis - maintain bike, parts, and accessories margin worksheets
  • Create and manage quotes. Coordinate quotes from KIS (our station vendor), Trek (our bicycle vendor, Amadeus (our software development company), and other vendors
  • Work with sales and implementation team to prepare and communicate quotes to customers
  • Get approval from appropriate team members to pay invoices
  • Appropriately code all invoices for payment
  • Review P&L accounts monthly to make sure we are in line with budget
  • Work with Finance on monthly forecast and annual budget
  • Create quotes and send to Finance to be invoiced
  • Follow-up with customers who have outstanding balances
  • High Proficiency with Microsoft Office: Word, Excel, Powerpoint, Outlook
  • Familiarity with budgeting and accounting principles
  • Experience working with customers over the phone and in email
