This position is responsible for marketing, selling, coordinating and execution of banquet, catering, corporate meetings and other events. Assists the Food and Beverage Manager with the supervision of staff during specified events. Serves as the club’s guest liaison and must convey a positive image to all guests, patrons and club personnel. Performs all duties with a focus on exceptional customer service for both internal and external customers, attention to detail and sensitivity for confidential material.

Job Tasks:
Provide support to Food and Beverage Director in coordinating a variety of activities such as
Hiring and training of staff, creating schedules, banquet set up and tear down per
Master BEO/guest requirements, and the supervision of server captains, servers, Bartenders, and set up personnel.
During event, provide constant spot checks to ensure outstanding performance. Continually directs and assists banquet staff during the entire event to ensure that all details are carried out according to the client’s specifications.
Greets clients prior the onset of the function and is present throughout the duration to assist in areas when needed. Periodically checks with client to ensure satisfaction with the function and to respond to any additional requests.
Maintain all closets and storage areas at all times.
Work with kitchen staff to make sure all food and beverages are served in a timely fashion.
Report food and beverage ordering needs to the Food and Beverage Director.
Budget, maintain and operate all audio/visual equipment.
Work in coordination with Event Sales Managers to determine audio/visual needs for rent/purchase and set-up required equipment as deemed necessary per specific event.
Ensure that all equipment is serviced, clean and functional prior to events.
Conduct pre-function training sessions
After each event, draft an accurate Post Function Captain’s Report (Critique) and forward to appropriate personnel.
Make sure that all rooms not being used are ready for the following event(s) or if not being used, are set to Center standards.
Ensure accurate guest counts for proper guest billing; communicate this and all other changes to F&B Accountant.
Communicate with Executive Chef and Food and Beverage Director on last minute changes to any and all functions.
Handle and document all guest requests, complaints, etc. and communicate these issues with appropriate personnel.
Supervise handling of equipment for function setup/tear down, as well as supervising the cleaning, maintenance and security of equipment during and after events.
Follow all designated opening and closing procedures to ensure areas are secure and energy efficient.
Assist Food and Beverage Director with food & beverage, equipment, meeting supplies, china, glass, and silverware inventories on a predetermined basis.
Assure the proper handling and cleaning of all equipment, china, glass and silverware by Banquet staff.
Negotiates prices with clients, draws up contracts and secures client’s signature
Ensure all cash control-handling policies and procedures are followed.
Follow all accounting and billing procedures.
Assure event signage is properly posted and positioned and removed at completion of event.
Ensure proper procedures regarding ordering of linen, receiving and storage.
Promote a healthy work environment by setting a good example for all staff.
Adhere to all club and department-specific policies and procedures and enforce this with subordinates.
Maintain a cooperative, team-like attitude in working with supervisors and fellow employees (including other departments).
Assure that banquet staff adheres to dress/uniform codes at all times.
Enforce all sanitation procedures including safety guidelines and OHSA requirements.
Attend department and club staff meetings including safety, BEO, all staff, and more.
Additional duties as directed by the Food and Beverage Director.
Perform any reasonable requests assigned by management.
Other activities as assigned.

Additional Requirements:
Minimum 2 – 5 years formal experience in a conference center, banquets facility or full service hotel operation. Sales & marketing experience preferred. Must have general knowledge of food and beverage and service procedures, generally involving two years as a server, dining room manager, or host/hostess.
Excellent AV skills, with the ability to set up each room’s audio & visual requirements per client requests.
Two year associate degree or bachelor’s degree form a four year college desired. Must be able to speak, read, write and understand the primary language(s) of client’s, banquet staff and other employees.
